Job Description:
The Administrative Assistant for Facilities will assist the Supervisor, Facilities Office Operations in managing the administrative operations of the Facilities office.
PRINCIPAL DUTIES AND ESSENTIAL FUNCTIONS
Job duties specific to this position:
Answers calls, provides information to callers, handle complaints and concerns by faculty, staff, students and parents. Refer these matters to the appropriate individuals and coordinate access to the space if necessary.
Track and Record water usage by location
Coordinate cleaning schedule with Contracted Vendors' Site Manager, currently UG2
Issue and supervise utilization of temporary access cards and keys.
Track registration and inspections for all Physical Plant vehicles (19)
Process incoming mail
Monitor, assign & review Schooldude requests for the entire campus. Follow up on work orders with all Physical Plant staff
Operate a 2-way radio system. Dispatch work requests and receive calls when completed.
Provide clerical support to the department by ordering supplies, processing check requests, reconciling receipts, recording daily gas usage for all maintenance vehicles and organize/maintain office files, manual and electronic to assure easy access and retrieval of materials.

Associate degree or equivalent work experience required.
Prior work experience in a secretarial setting preferred
