Northwestern University is seeking a temporary Accounting Administrative Assistant for the Evanston campus.
Temporary Job Description:
As part of the role, this person will be responsible for supporting two departments, the Finance and Education Departments.
Responsibilities:
Within the Finance Department, this person will be responsible for supporting the business administrator by performing financial and administrative tasks. These tasks include:
Acting as a proxy for specific employees
Completing their expense reports,
Assisting staff with timesheet access and data entry,
Additionally, the individual will handle tasks such as
Processing international wire transfers,
Managing iBuyNU assigned carts,
Reviewing current chartfield1's and account codes to identify areas for improvement.
Furthermore, they will play a key role in compiling all exhibitions and programming, which will be classified by exhibit, date, purpose, department contact, chartfield1, and account code, to serve as a valuable staff resource.
Within the department of Campus and Community Education and Engagement. This position reports to the Associate Director of Engagement. These tasks include:
Event coordination and support of public programs, including processing travel arrangements, financial paperwork, and permissions; creating and managing budgets; arranging travel and hospitality; pre-program support, including scheduling, communicating with speakers, and creating event agendas;day-of program support; and communicating with internal and external partners at The Block, on campus, and in our communities.
General administrative, financial, and departmental support, including organizing meetings, tracking departmental activity, assisting with outreach and promotion needs related to programming, and communicating with internal and external partners.
Administrative support of the Block Museum Student Associates Program, including supporting communication around time entry and other HR protocols, and logistical support for tours, student trainings, and occasional events.
Minimum Qualifications:
Bachelor's degree OR appropriate combination of education and experience.
1-3 years of relevant experience.
Excellent organizational, administrative, and project management skills. Proven ability to take initiative, prioritize, set goals, and meet deadlines.
Demonstrated experience with event coordination, including online, hybrid and in-person programs.
Exceptional oral and written communication skills, experience developing and maintaining budgets, and comfort engaging with partners, stakeholders, and audiences on and off campus.
Excellent customer service, hospitality, and diplomacy skills, including ability to exercise good judgment in a variety of situations, to extend generosity and welcome at all times.
Ideal candidates will demonstrate attention to detail, an ability to manage multiple priorities, and enjoy contributing to a close and collaborative team.

Preferred Qualifications:
Comfort with basic graphic design and software to create promotional materials.
Interest in museums, art, interdisciplinary teaching, and higher education.
