The Department of Facilities Management (FM) is seeking a Project Specialist who supports the strategic planning for the department and the development and implementation of projects focused on Facilities Planning impacting faculty, staff and students, research and education.
The Project Specialist is responsible for supporting the implementation, coordination, status reporting and stability of divisional and department-wide projects. These projects will have a significant and direct impact on the strategic priorities and administrative and fiscal operations of the Bloomberg School of Public Health division, academic and research departments, and Facilities Management.
Specific Duties & Responsibilities
Carries out all phases of assigned projects where applicable.
Defines projects in collaboration with key stakeholders.
Assembles appropriate project team and defines key tasks and deadlines necessary for execution of deliverable.
Assembles comprehensive project plans and communicates project teamwork assignments.
Executes necessary follow-up during implementation.
Supports data collection and analysis to identify strategic and operational opportunities, monitor project outcomes, and closes projects with after-action reviews.
Oversees implementation of strategic plan in partnership with Director, Assistant Directors, Administrators, Facilities Services Manager and Maintenance Planner for Strategic Projects.
Manages full project planning lifecycle of all strategic and operational FM projects (planning, initiating, implementing, monitoring and controlling, and closing).
Adheres to established project management processes and methodologies to ensure projects are delivered on time, within budget, according to established procedures, adhere to high quality standards and meet assigned expectations.
Leverages project management tools (charts, diagrams, plans, data management systems, schedules, documentation, established practices, communications procedures) to update departmental leadership of project status or barriers to implementation.
Closes projects with after-action reviews.
Provides regular updates to Facilities Services Manager and Departmental Leadership on project progress using templates and project dashboard.
Implements and manages change in project scope to ensure completion of strategic priorities, procedures, and requirements.
Evaluates and assesses overall results of projects for efficacy and effectiveness.
Supports departmental communications via the departmental email, Maximo, Microsoft Teams, Facilities Management website etc.
Supports Facilities Management Department in prioritizing and executing departmental space and equipment planning, facilities construction and renovation, and coordinating faculty and staff relocations.
Ensures projects fall within scope and budget set by department and as approved by FM.
Provides administrative and technical support and calendar management assistance to Facilities Management Department.
Researches information (trends, standards, guidelines, challenges) for department projects to prepare progress presentations.
Supports the Facilities Management Department as a resource as follows
Demonstrated project management or other operational improvement experience in clinical, research, academic or facilities services environment preferred. Proficiency with Microsoft Office Suite, Microsoft Visio, Microsoft Publisher and other business applications required.
Detail-Oriented and highly organized.
Excellent planning and time management skills
Thrives in collaborative environment.
Strong communication and interpersonal skills with customers, team, stakeholders, vendors, and external constituents.
Business & Strategy Experience.
Customer-focused mindset in supporting organizational faculty and staff.
Minimum Qualifications
Bachelor's Degree in related field.
Five years of related experience.
Additional related experience may substitute for required education and additional related education may substitute for required experience, to the extent permitted by the JHU equivalency formula.
Preferred Qualifications
Project Management Professional (PMP) certification or equivalent preferred.
