The Calhoun School, a progressive independent school located on Manhattan's Upper West Side, is seeking candidates for the full-time position of Development Systems and Events Associate to join our collaborative Office of Development and Alumni Relations.
Reporting directly to the Director of Development, the Development Systems and Events Associate is Calhoun’s chief authority on the Raiser’s Edge database and is responsible for gift entry, processing and acknowledgement as well as serving as the primary liaison to our Business Office. This essential member of the Development Office produces analytical reports and research to support all aspects of the donor engagement cycle and supports the Events and Engagement Coordinator with logistical and data-related elements of constituent events.
ESSENTIAL FUNCTIONS / RESPONSIBILITIES
Responsibilities include (but are not limited to):
Raiser’s Edge Management and Maintenance
Ensure the biographical and financial accuracy of the database, including making regular and timely updates on family and donor information
Conduct annual roll-over of data, accounting for incoming and exiting families
Perform periodic maintenance to ensure that data is up-to-date, accurate, and de-duplicated, and that best practices are being implemented and documented
Reporting and Data Analysis
In partnership with the Development Office, create and manage an annual calendar of key reports and data inputs / exports, including reports to be pulled regularly
Prepare monthly and annual reports for presentation to the administration and board of trustees
Accurately pull all data required for Annual Report and Printer’s Proof
Create new queries, exports, and reports or revise existing ones based on the needs of the Development team
Gift Entry, Processing, Acknowledgements and Reconciliation
Develop and/or revise and maintain standards and procedures for data and gift entry
Manage gift acknowledgement, ensuring gifts are acknowledged in a timely manner
File all acknowledgement letters and resend to donors upon request
Annually, set up Greater Giving/GiveCampus/OneCause/other donation pages and systems to process gifts
Business Office Partnership
Ensure data accuracy and appropriate integration of financial records between RE and Financial Edge
Serve as the primary liaison between the Development and Business Offices, supporting annual audit
Create and implement mechanisms to ensure effective interaction between data bases and team members
Special Events
Support the Events and Engagement Coordinator with event logistics, set-up and breakdown including guest tracking and event record management
Research
Conduct prospect research on incoming families and donor prospects
Create prospect reports for upcoming Development Office events
Other Development Activities and Professional Growth
Engage regularly with NYSAIS colleagues and professional growth opportunities to ensure our systems are processes are in line with up-to-date best practices
Participate in Development Office text- and phone-a-thons, serving as a solicitor
Support Development Office events, both on and off-campus, as needed
Provide training to new employees in need of Raiser’s Edge support

QUALIFICATIONS REQUIRED:
Bachelor’s degree
3–5 years full-time, related professional experience; preferably in non-profit/ educational fundraising
Strong proficiency with Raiser’s Edge or comparable CRM
Excellent Excel and data manipulation skills
Comfort with engaging with donors of all constituencies via written and in-person communication
Strong project management skills including the ability to prioritize, complete multiple tasks simultaneously with close attention to detail and meet deadlines
Highest ethical standards and an ability to handle confidential information with integrity and discretion
Evening work is required throughout the year (approximately 10 evenings)
The Calhoun Development Office is located on the third floor of a five-floor walk-up townhouse. Position will require occasional travel between two buildings within four blocks of one another.
