Strategic Planning and Operational Management (15%)
Partner with chair for strategic planning to include operational budget, human resources, and space.
Coordinate external and accreditation reviews.
Serve as Chief of Staff, coordinating all aspects of unit management.
Attend faculty and area meetings, assist with agenda, and take minutes.
Build collaborative relationships within GWSS, CLA, University, and with external entities
Work with the chair to develop external communication strategies and priorities.
Assist chair with development and implementation of policies and procedures.
Fiscal Oversight (20%)
Assist chair in the development of annual budgets and budget proposals.
Prepare budget reports, projections and plans.
Work with the accountant to monitor department accounts; advise the department Chair of trends and patterns.
Provide department approval for expenditures following department, college, and University policies and procedures.
Approve reimbursements and other business documents as required.
Analyze foundation and asset management funds for the department.
Forecast funding availability for fellowships, travel awards, scholarships.
Support faculty sponsored research and grant/contract administration.
HR, Payroll & Staff Supervision (35%)
Oversee human resources and payroll for all employee groups (civil service, labor represented, P/A and faculty) including employee relations, recruitment and compensation.
Supervise one labor-represented staff member and work-study undergraduate office workers.
Develop job descriptions and performance standards, coordinate searches, hiring and training, onboarding.
Assign, monitor and adjust workloads.
Produce offer letters for labor represented, civil service, and P&A appointments.
Manage promotion and tenure reviews, annual reviews of probationary and tenure/tenure track faculty, and faculty searches.
Organize and maintain all governance documents, affiliation agreements, and college level agreements.
Serve as ex officio member of department committees (Promotion and Tenure, Appointments, Honors and Awards, and Compensation).
Manage voting information and ballots as requested.
Manage Teaching Assistant Training for graduate assistants.
Enter graduate appointments in Workflow HR-Hiring.
Advise graduate instructors and teaching assistants on human resources and employment-related policies and procedures, expectations and department practices.
Collaborate with CLAHR to mediate employment related disputes.
Prepare and process Visa applications and extensions for international employees and graduate students.
Curriculum Management (20%)
Plan annual curriculum and assign all faculty (including adjuncts), P&A instructors, and graduate teaching assistants in consultation with chair, DGS and DUS.
Submit recommendations of undergraduate and graduate curricular offerings to the GWSS Curriculum/Undergraduate Studies Committee.
Work with faculty on course development and long-term curriculum development.
Manage ECAS/CCS course entry.
Track course releases.
Identify instructional funding needs and ensure funding is efficiently spent.
Monitor Council of Liberal Education (CLE) and Student Learning Outcomes (SLO) requirements.
Assist department in strategic planning and implementation of enrollment growth strategies.
Maintain department records on curriculum and enrollments and analyze data to improve enrollment metrics.
Analyze detailed course scheduling, enrollment and instructional cost reports to maximize instructional capacity and enrollments.
Office Management (5%)
Maintain and organize department records.
Coordinate data collection for reporting, internal and external surveys.
Develop an annual calendar, set deadlines and priorities.
Initiate, identify and manage projects.
Space & Computer Equipment (5%)
Coordinate space planning, allocation, and reporting.
Work with Facilities Management on emergency plans.
Implement physical changes and additions to space and equipment.
Coordinate Computer Inventory and Computer Replacement Program (CRP).
Approve computer and equipment purchases.
REQUIRED QUALIFICATIONS
Bachelor's Degree plus two (2) years of professional level administrative experience, or a combination of related education and/or relevant professional level finance and/or administrative experience totaling six (6) years.
Two (2) years of supervisory experience.
Experience with two or more of the following: human resources, payroll and appointments, academic searches, promotion and tenure, curriculum management/course scheduling, graduate programs, program planning, or budget planning and financial resources management.
Experience providing assistance and guidance to a faculty officer in a higher education setting or senior leadership at a nonprofit organization.
Prior project management experience.
Experience managing multiple complex tasks.
Experience researching, interpreting, and applying policies.
PREFERRED QUALIFICATIONS
Administrative experience at the University of Minnesota or in a higher education setting providing assistance to the Department Chair or Director of an academic department.
Masters Degree or advanced training in business, human relations or a related field. Ability to make sound decisions, set priorities and work in a fast-paced environment with deadlines and interruptions.
Successful candidates must be creative and attentive to business and staff needs, perform at a high level of discretion, integrity and confidentiality.
Administrative experience in human resources and payroll.
Demonstrated application of sound business principles.
Successful experience with course scheduling, academic searches and promotion and tenure processes.
Experience with PeopleSoft, EFS, CCS and ECAS.
Proven ability to develop timelines, implement innovative business strategies, identify problems and solutions and conduct systematic processes reviews and improvements.
Experience and/or commitment to working with diverse groups of people.
Excellent verbal and written communication skills, including the ability to communicate effectively with diverse constituencies.
Demonstrated ability to take initiative and work independently.
