Reporting to the Director of Annual Giving and Volunteer Engagement, the Annual Fund Coordinator is a full-time non-exempt position that supports the work of the annual giving team. In his/her work with annual giving officers, he/she assists in planning, organizing and coordinating a range of activities to help achieve annual donor and revenue goals. Duties include overseeing the class letter program, assisting with the phonathon program, producing matching gift and reunion gift committee correspondence, coordinating department meetings and resolving donor inquiries.
Major Areas of Responsibility
Prepare class letters. Organize mass mailings. Prepare acknowledgement letters for select donors. Compose occasional correspondence as requested. Proofread letters, invitations, memorandum, etc. Provide general office support.
Enthusiastically greet callers and guests. Understand and communicate departmental policies and procedures. Answer or refer all inquiries from volunteers and donors. Work with other departmental staff to answer questions and resolve problems as they occur.
Ensure that copies of department invoices, letters and memorandum and other correspondence are correctly filed and recorded. Keep files up to date and discard unnecessary information. Create filing systems as needed.
Coordinate travel arrangements and expense reports for annual giving directors. Assist the Director of Annual Giving with department budget tracking and reporting.
Oversee Class Letter program: proof and prepare printed and digital letters, generate mailing lists and coordinate printing.
Schedule appointments and meetings for the Director and the team, as needed.
Recruits, hires and supervises a team of work study students. Working with Assistant Director, assist with and staff phonathon.
Organize and complete monthly mailings to class chairs, including reports and greenslips.
Help coordinate and staff volunteer events and meetings, produce mailings and materials for meetings and solicitations, and draft committee reports and alumni correspondence.
Follow up on incomplete gift forms and assist with gift proofing, as necessary.
Minimum Qualifications
Holy Cross Fund Office Coordinator must possess a Bachelor's Degree, preferred two years of experience with a strong sense of the mission of the College.
Incumbents must have a minimum of two years of experience (education may count toward experience).
Must be highly organized, detail oriented, and have the ability to work competently and efficiently in a multi-task environment with the ability to prioritize responsibilities.
Must be focused, motivated to learn, and flexible to change.
Strong writing skills and the ability to accurately proofread and edit correspondence.
Possess strong interpersonal skills that include an excellent phone manner and personal presentation.
Initiative, good judgment and sensitivity to confidential information required.
The ability to master new software applications and technologies in database management. Advanced expertise in the functional use of Excel and Word are required (mail merges, report generation).
