Creates and organizes resources for job creation including templates for job descriptions.
Organizes salary benchmarking, specifically at DIL global field offices.
Coordinates with the BFI HR Team to get new positions approved by the University.
Strategizes and project manages the outreach process to fill pipelines for open jobs.
Coordinates recruitment planning, job description, screening of applicants, interview schedules, sample questions and evaluation materials, etc.
Coordinates recruiting processes and procedures across all staff including some partner entities.
Advises DIL staff and coordinates on hiring personnel abroad.
Pulls applications from various recruiting platforms when they are submitted and shares with hiring managers.
Leads hiring meetings and liaise with hiring managers to ensure the timely progress of hiring processes.
Ensures that relevant HR and operations updates and resources shared by BFI are communicated on unit specific platforms.Â
Works with BFI in ensuring compliance of staff with organizational, University, and other relevant policies and guidelines.
Coordinates with BFI Human Resources Department and DIL hiring managers to make formal offers to new hires.
Works with BFI HR regarding on- and off-boarding to ensure transactions are completed accurately within the expected timeframe.
Schedules and coordinates onboarding plans.
Manages the procurement of business cards and office equipment.
Manages the allocation of office space with DIL management.
Coordinates access to various University systems for new employees.
Liaise with third party employers to support employees hired abroad.
Processes employee moving expenses.
Coordinates training, initial and ongoing. Trains office staff on office procedures and compliance protocols. Coordinates special projects.
Works with Director and Executive Director on programâ™s 360 review process.
Provides visa question support for staff travel and relocation with BFI HR.
Ensures that staff lists and staff information are up-to-date on all unit platforms.
Facilitates HR processes and procedures with guidance from BFI HR across all staff including some partner entities.
Works as needed through a variety of hiring processes.
Reserves office, conference, and event space. Works with relevant University departments to allocate office, conference, and event space for visitors and staff.
Executes day-to-day event logistics, and other moderately complex assignments with some guidance from others.
Communicates with vendors as needed.
Coordinates travel arrangements and lodging for visitors, speakers and faculty.
Uses existing and new procedures to solve routine and complex problems as they arise.
Performs some routine and complex assignments for the unit usually in the areas of finance, event planning or support services. Initiate the hiring process of students and staff for a unit, which includes the processing of payroll.
Researches and analyzes data to create reports, and may create other reports for grants and contracts.
Performs other related work as needed.
Preferred Qualifications Â
Education:
Associate degree in in business administration or related field.
Bachelorâ™s degree in business administration or related field.
Experience:
Minimum of 3 years of relevant experience.
Global experience.
Technical Skills or Knowledge:
Demonstrated skill and knowledge of or ability to quickly learn the internal workings of the University.
Proficient in Microsoft Windows Suite, including Microsoft Outlook, Word, Excel and PowerPoint.
Willingness to learn new systems and software as necessary.
Preferred Competencies
Familiarity with recruiting and hiring practices is a plus.
Demonstrated ability to take initiative and work independently, while remaining in close coordination with other members of the team.
Strong communication and organizational skills, with proven ability to juggle competing priorities with diplomacy, tact, and goodwill.
Working Conditions
Perform tasks mostly indoors in an office setting.
Work independently for periods of eight (8) hours or more.
