The University of Alabama at Birmingham (UAB) seeks a Program Coordinator II. Under minimal supervision, coordinates administrative, personnel and logistical support for a defined department program (s), often of a large and/or complex nature. The Department of Anesthesiology is seeking an experienced administrative professional to help support the 15-20 faculty and 25-30 staff within the Research Division. Primary duties will include providing grant related administrative support (pre and post award) to the research faculty and staff in the division, as well as non-grant-related administrative support (calendars, meetings, etc.).
Key Duties, Primary Responsibilities:
Carries out established program objectives and directives
Follows established guidelines or protocols
Determines the best approach to accomplish assignments
May participate in program planning and in setting program objectives
May supervise support staff
May act as a communication liaison and special events planner
Interfaces with outside resources such as volunteers, alumni, patients, other professionals in a defined field or with continuing education students
May be responsible for adherence to program budget and/or other fiscal duties
May assist with grant and contract preparation and submission
May handle data management
Assists faculty with grant application preparation and submission to OSP, and extramural sponsors
May assist with preparations of budgets for new grant applications
Facilitates fee-for-service agreements, subcontracts, and subawards
Maintain faculty research files related to multiple ongoing research projects
Files include those related to budgets, animal care facilities, research sponsor applications and reports, and other UAB mandated records and approval forms
Monitors grants, contracts and discretionary account monthly spending, including providing balance statements to project directors
May assist with preparations of budgets for proposed and on-going projects, as well as the preparation of new grant applications
Assists with NIH annual renewals, no cost extensions, carryforward requests, RPPR preparation and annual closeout forms in communication with NIH and OSP
Receive and distribute sponsor assay deliveries, notify appropriate lab staff/managers
Regularly updates and plans with project PI to ensure project milestones are met
Interfaces with federal sponsor for project management, deliverables, and appropriate invoicing
Assist PI with processing MTA's and CDA's as needed
Maintain a database and inventory of supplies for the division, as well as some laboratories Process requisitions and payments requests for supplies/equipment, and reimbursements Send work requests as needed, ex., maintenance, security and EVS etc.
Process all Fed Ex Hazardous and UPS shipments requests
Create and close Blanket Purchase Orders as needed
Manage electronic calendar for Staff and Faculty requests
Organize meetings and agendas for Visiting Professors, Faculty Candidates, etc.
Answer central division and lab office lines, and respond to phone requests; may include providing information directly to callers or forwarding to appropriate responders
Grants administration experience is preferred
Experience with Oracle, Lawson and BA Priority Software is a plus

Hourly Pay Range - $18.35 - $29.80
Qualifications
Bachelor's degree in a related field
One (1) year of related experience required
Or an equivalent combination of relevant education and/or experience
