Position Title: Chief of Staff to the Provost and Senior Vice President for Academic Affairs

Description:
The Chief of Staff serves as a confidential advisor to the Provost and Senior Vice President for Academic Affairs and will play a critical role in helping provide strategic and analytical support to the Provost, managing certain special projects end to end, and helping the Provost's office and the Provost's senior team to function as effectively as possible. The Chief of Staff will also lead efforts to operationalize the Provost's vision by leading committees and workgroups, coordinating specific cross-functional projects and initiatives, and project management. This is an excellent opportunity for a highly organized, seasoned professional who is strategic and action oriented and enjoys working in a fast-paced environment.
Responsibilities include, but are not limited to:
Serves as a member of the Provost's Senior Leadership Team, working closely with the Provost and other senior administrators to support the Provost's institutional responsibilities and priorities.
Provides high level administrative support to the Provost and Senior Vice President for Academic Affairs, as well as the Senior Vice Provost for Academic Affairs.
Gathers information, coordinates with different involved parties, develops and monitors execution plans, and keeps track of responsibilities. Supervises and works closely with the Provost's administrative assistant.
Owns, manages, and completes special projects for the Provost if and as needed. In some cases, this may mean taking on entire specific initiatives or projects for the Provost and managing them end to end.
Assist the Provost with internal and external communications (e.g., researching and drafting articles, speeches, presentations, reports, update emails, and content for websites and social media).
Identify and prioritize workflow.
Review work for accuracy and ensure adherence to deadlines.
Interact and communicate with all levels of University personnel and external contacts.
Research and provide the Provost with comprehensive background information on a variety of issues requiring responses, including sensitive/confidential inquiries.
Manages the Provost's participation in University Senate, Board of Trustees and governance matters, and prepares related meeting materials as needed.
Hires and trains the Office of the Provost staff, creates workflows and projects that anticipate or respond to needs of the Provost.
Select and supervise the compilation of materials for meetings, appointments, and special events to include meeting agendas and all other arrangements.
Minimum 6 – 8 years of progressively related experience preferably in a highly complex higher education academic setting.
Strong project management skills.
A demonstrated ability to work in and support a diverse and inclusive workplace.
Ability to gather data, compile information, and prepare reports. Highly advanced writing and synthesis skills.
Demonstrated ability to create, compose, and edit correspondence, public remarks, briefings, talking points, and other written materials.
Skill in examining and re-engineering operations and procedures, formulating policy, and developing and implementing new strategies and procedures.
Ability to establish excellent working relationships with key stakeholders, including Vice Provosts, Deans' offices, the President's office, and other key university administrative offices.
Ability to handle sensitive information with absolute discretion.
Strong interpersonal skills and emotional intelligence.
Demonstrated ability to exercise good judgement and to prioritize tasks.
Preferred Qualifications:
Experience with Ellucian Banner or similar database program.
Familiarity with a broad variety of academic departments and programs.
