The Office of Undergraduate Admissions generates, reviews, and processes in excess of 67,000 applications and serves approximately 38,000 campus visitors each year. The office has 44 career staff FTE, 45-50 part-time/temporary staff, and 150 student staff. Staff work locally and regionally throughout California and the nation.
The office is part of Enrollment Management, which includes Financial Aid and Scholarships, Orientation and Undergraduate Admissions. Enrollment Management is part of the multi-faceted academic Division of Undergraduate Education. Undergraduate Admissions, Enrollment Management and Undergraduate Education work closely with select Academic Senate committees.

The Business Systems Analyst, under the general direction of the Assistant Director of Information Technology Systems, is responsible for coordinating the overall delivery of Admissions functionality in the university's system of record, Oracle Campus Solutions AKA Academic Information System (AIS). They serve as a liaison from the Office of Undergraduate Admissions to other academic and administrative departments.
The Business Systems Analyst assumes a leadership role in administrative reporting. The role will produce and maintain a variety of standard and non-standard query reports, including legal, regulatory and UC leadership requests. The position primarily supports the outreach and evaluation components of undergraduate admissions. The incumbent will also deliver data for certain aspects of advising, campus community and student records.
The Business Systems Analyst analyzes UCSC Admissions Office needs and uses that understanding to coordinate the development and multi-mode (web, other electronic and printed) delivery of admissions-related information, facilitate documentation and testing, and create training materials. These materials include written documentation of manual and automatic processes, that meet the needs of end users accessing Undergraduate Admissions information in the Academic Information System. The incumbent will be required to develop an in-depth knowledge of organizational policies and procedures in order to provide strict adherence to all legal and regulatory requirements.
The Business Systems Analyst plays a crucial role in supporting key admissions processes and acts as a technical lead within AIS during annual tasks that include preparing admissions systems for the delivery of application data, informing the campus AIS technical community of data requirements and changes, acting as the technical lead for the release of admissions decisions for freshmen and transfer students, and supporting business processes that ensure admitted students move through the admissions enrollment funnel.
The Business Systems Analyst is a member of the Systems team and serves as the lead analyst in the implementation, upgrade, and production environments. In this role, the incumbent maintains knowledge of industry best practices and works collaboratively with campus entities and other AIS business process analysts to maximize the effectiveness of Undergraduate Admissions functionality within AIS.

Budgeted Salary: $102,500/Annually.

JOB DUTIES
25% - Applies advanced business analysis concepts to identify, evaluate and define highly complex systems scope and objectives based on advanced knowledge of applicable business practices, processes and systems and industry standards to meet end-user needs. Works at the highest technical level of various phases of systems analysis. Considers the business implications of applying technology to the current and future business environment.
20% - Initiates, designs or modifies highly complex systems and procedures where standardized policies or procedures may or may not exist. Creates highly technical specifications for systems with broad impact at a departmental and campus level. Develops unit integration and acceptance testing plans and scenarios. Supports cross-functional teams within Admissions to address complex business or systems issues.
20% - Initiates, facilitates, implements and documents work process changes. Initiates and oversees changes in processes and procedures. Prepares and approves or obtains approval for business process and procedural documentation. Sets the technical requirements for complex specifications. Negotiates with stakeholders on the creation of specifications and the development of a delivery plan.
15% - Performs highly complex analysis of business and user needs, documentation of requirements and translation into proper system and process requirement specifications. Provides advanced support and training on new applications or changes to the AIS system for admissions business and technical users. Mentors other Business Systems Analysts within the admissions team. Acts as technical lead for key admissions cycle processes that move students through the admissions enrolment process.
10% - In conjunction with the Assistant Director of Admissions Technology, and with campus AIS committees and subcommittees, establishes review and quality assurance strategies, monitors compliance with Business Development and Finance Bulletin IS-3, reviews and analyzes current campus and system-wide policies and procedures recommending or initiating change as needed in functions related to AIS service areas. Assists in developing internal and external policies to carry out campus and system-wide mandates.
10% - In collaboration with the Assistant Director of Admissions Technology, representatives of other units (e.g. Registrars, Financial Aid, Student Business Services, Colleges, Divisions, Academic Departments, UCOP), and with other AIS Process Managers, coordinates the analysis, planning, and implementation of specified admissions requirements, with a primary focus on AIS security. Supports Undergraduate Admissions business requirements and processes and transforms those requirements into specifications for use by AIS analysts and developers.
REQUIRED QUALIFICATIONS
Bachelor's degree in related area* and/or equivalent experience/training. *Computer science, data processing, computer information systems, or related field.
Advanced knowledge of business process analysis to increase efficiencies, effectiveness and to align with department goals. Strong skills and methodologies associated with software design, modification and implementation.
Advanced knowledge of data management and retention methodologies consistent with industry standards. Demonstrated experience managing large relational database systems.
Excellent oral and written communication skills. Ability to effectively communicate technical information in a clear and concise manner to technical and non-technical staff.
Advanced knowledge of project management methodologies including program design, implementation, and evaluation. Proven ability to work efficiently in a fast-paced environment.
Strong critical thinking and problem-solving skills, with ability to be persuasive and negotiate on behalf of the department/organization.
Experience working as part of a team; and collaborating with others to achieve a common goal.
Ability to work in a deadline driven environment, making effective use of limited resources, while maintaining a professional demeanor. Demonstrated ability to work independently and follow through on assignments with minimal direction.
PREFERRED QUALIFICATIONS
Master's degree in related area.
Experience developing and managing information technology systems for undergraduate admissions offices at a four-year college/university setting.
Knowledge of related areas of information technology across large organizations particularly higher education institutions with a shared governance structure.
Functional understanding of core business technologies, including Oracle PeopleSoft (AIS), CRM (Slate), project management applications (Asana), communication systems (Slack), and Google Suite or similar systems.
SPECIAL CONDITIONS OF EMPLOYMENT
