Detailed Job Description The College of Science (COS) Inventory, Access, and Documentation Coordinator position is responsible for maintaining stockroom inventories for the Gosnell Hall A-level Main Stores. The position oversees card swipe and keys access for all College of Science areas as well as maintaining digital documentation and enhancing business operations where applicable. In collaboration with the Event and Communication Coordinator, the position may be asked to support set up and clean up for College of Science faculty, staff and student organization events; provides back-up support to other stockroom personnel as appropriate.
The Inventory, Access and Documentation Coordinator (IADC) will be responsible for learning, utilizing and maintaining the inventory management system, which includes digital documentation processes currently used by College of Science. The IADC will research, recommend, and implement a new system or updates to the existing inventory management system and digital documentation processes. Tasks associated with such upgrades/changes will include, but are not limited to, determining college needs, assessing new/existing systems, coordinating implementation of all system changes/upgrades including testing and training of staff and faculty, and ongoing management of systems. The IADC will be expected to identify, recommend and implement new workflows and process improvements and will serve as designated lead of systems and primary point of contact for any issues regarding the systems.
Responsible for all functions involving key and card swipe access to COS spaces located in multiple campus buildings. Oversee Lenel database system for all card swipe access points within COS areas.
Responsibilities:
Oversee the inventory, distribution and return of assigned COS keys.
Create and maintain a digital sign out system for the COS Main Stores dispensing area.
Creation and maintenance of stockroom forms utilized by the COS Faculty, Staff and Students, including recommendation of documentation and inventory system upgrades.
Other Duties as assigned: Assist the stockroom with coverage of phones, receiving and dispensing stockroom window. Would also be asked to support special events such as but not limited to Brick City Weekend, Imagine RIT, Commencement and Open Houses.

Department/College Description The College of Science has 800 undergraduate students, 350 graduate students and 193 faculty members. It delivers the required scientific and mathematical education for most of the programs offered at RIT. The College of Science houses four of RITs eight Ph.D. programs - color science, astrophysical sciences and technology, mathematical modeling and imaging science.
The College of Science offers undergraduate and graduate programs in the Chester F. Carlson Center for Imaging Science, Thomas H. Gosnell School of Life Sciences, the School of Chemistry and Materials Science, the School of Mathematical Sciences, the School of Physics and Astronomy, and the Integrated Sciences Academy. It also offers many research opportunities and programs and houses a number of research centers and laboratories that are conducting world-renowned research. In addition to its degree programs, the College delivers the required scientific and mathematical underpinnings for most of the programs offered at RIT.
Minimum Qualifications
5+ years related experience
Must be able to work in a very dynamic customer-service work environment
Aptitude to evaluate and recommend for potential adoption, a new document handling system and a new digital inventory control system
Ability to perform document and inventory system setup and maintenance, including maintaining the existing system information
Must be able to work in a very dynamic customer service work environment
Ability to manage multiple tasks
Verbal and written communication skills
Basic knowledge of Oracle & Lenel systems
Intermediate use of Microsoft Excel & Word
Comprehensive Adobe background including document creation, manipulation and other specialty tools (digital signing, fillable forms, etc.)
