IT Project Coordinator (Administrative Project Coordinator - MR07)

The IT Project Coordinator will be in charge of assisting project managers in organizing ongoing projects. This task involves monitoring project plans, schedules, work hours, budgets, expenditures, organizing and participating in stakeholder meetings, and ensuring that project deadlines are met in a timely manner.
Primary Responsibilities:
Project Coordination
- Coordinates focused projects in assigned area(s) of expertise
- Maintains and monitors project plans, project schedules, work hours, budgets, and expenditures
- Work is guided by objectives and expected outcomes with general direction; refers new or complex problems to a higher level
- Organizes, attends, and participates in stakeholder meetings
- Documents and follows up on important actions and decisions from meetings
- Prepares necessary presentation materials for meetings
- Decisions impacting budget, scope, and schedule are typically made in consultation with stakeholders and supervisor
- Determines project changes
- Provides administrative support as needed
- Completes undertaking project tasks as required
- Ensures projects adhere to frameworks and all documentation is maintained appropriately for each project
- Assesses project risks and issues and provides solutions where applicable
- Ensures stakeholder views are managed towards the best solution
Communication and Documentation
- Develops and maintains project performance database that tracks overall progress and achievement of milestones
- Fosters teamwork on projects, promotes following IT project standards, and supports established technical guidelines
- Promotes communication, collaboration, and teamwork among IT and non-IT departments to develop plans which accomplish goals to benefit all stakeholders
- Chairs and facilitates meetings where appropriate and distributes minutes to all project team members
- Deepens partnerships with outside resources, including third-party vendors
- Performs other duties as assigned
The ideal candidate will possess the following:
- Knowledge of project management principles
- Effective oral and written communication, time management, problem-solving, and customer service skills
- Knowledge to analyze costs, benefits, and feasibility for assigned projects
- Knowledge to proactively anticipate and mitigate risks to reduce probability & impact
- An in-depth knowledge of project management process
- Competent in using applications like Excel and Word
- A basic knowledge of IT strategic technology planning is preferred
- A basic knowledge of IT technologies is preferred
- Ability to manage multiple projects or estimates
- Ability to analyze and document project failures and successes
- Ability to lead meetings effectively, and lead a team
- Ability to hold others accountable for project outcomes
- Ability to think analytically
- Ability to take initiative
- Ability to problem solve effectively
- Ability to foster collaboration and teamwork
- Ability to build relationships at all levels of the University
- Ability to mentor others in project management related areas is preferred

Minimum Qualifications: Typically requires a high school diploma and three years of relevant experience, or an equivalent combination of education, training, and experience.
Preferred Qualifications: Bachelor's degree; certified associate in project management, or other relevant certification; and experience working in a higher education/university environment are preferred.
