The Department of Digital Media and Design, in the School of Fine Arts, seeks qualified applicants for the full-time position of Educational Program Coordinator. Under the supervision of the Department Head, the Educational Program Coordinator will provide programmatic and administrative support to the Department. The Educational Program Coordinator will supervise one support staff member and is expected to work independently and within the defined guidelines established by the program and the supervisor.
DUTIES AND RESPONSIBILITIES
Manage general office operations and process and maintain paperwork to support academic programs, respond to requests from students, faculty, and staff; maintain record-keeping including the SlideRoom platform used for student admissions.
Coordinate Graduate Program activities including admissions, assistantships, student paperwork, and student support. Respond to inquiries, disseminate information, and promote the program. Maintain the status of applicants in the graduate application systems (Slate and Slideroom), and communicate with applicants about their status.
Serve as program representative to potential applicants, current students, community partners, and the general public and act as a liaison between the program and other University offices, collaborative corporate partners, and external organizations, managing corporate relations.
Facilitate student recruitment and admissions processes in coordination with department faculty and School of Fine Arts staff. Coordinate departmental events.
Provide general administrative support for the Department Head, including handling administrative matters and preparing standard correspondence and data for reports as needed. Serve as a resource for faculty regarding University procedures.
Assist faculty and staff with grant activity in conjunction with Sponsored Program office and/or School of Fine Arts staff, travel arrangements, and allowable purchases in compliance with the School and University policies and procedures. Provide hiring support and process paperwork for new positions including onboarding, hiring paperwork, and transactions related to faculty searches, special payroll, graduate assistantships, and regular and federal work-study student labor processing.
May serve as a point of contact for facility issues in assigned building(s), initiate work requests, monitor completion; maintain and manage key inventory and access approvals; schedule and administer card reader system and access to designated classrooms, studios, and labs.
Oversee, delegate and mentor professional staff, graduate assistants, and student workers and monitor and track work product.
Establish departmental master course schedules and room assignments for Storrs and Stamford programs, serving as the liaison between the Department Head, faculty, and the Office of the Registrar.
Maintain and monitor faculty advisor assignments, student registration, academic records such as course rosters, grade reports, and other records; and process and track scholarships, fellowships, and awards to students.
Assist with other department programs, processes, or activities as assigned, in order to further the Department's educational mission.
MINIMUM QUALIFICATIONS
Bachelor's degree in a relevant field.
Three to four years of related professional experience including one year of experience serving as an advanced team member in a supervisory role.
Demonstrated communication and interpersonal skills.
Demonstrated organizational and problem-solving skills.
Demonstrated advanced knowledge of Microsoft Office (Excel, Word, Powerpoint) and Google equivalents.
PREFERRED QUALIFICATIONS
Administrative experience in a higher education academic setting.
Knowledge of or experience with University of Connecticut policies and procedures.
Demonstrated ability to work with diverse student, administrative, and faculty populations and provide a commitment to the values of diversity, equity, and inclusion in an educational setting.
Experience using Adobe Creative Suite.
Customer service experience.
APPOINTMENT TERMS
This is a full-time position in the UCPEA Union. Scheduled work hours may include occasional evening or weekend commitments. The University offers a competitive salary, outstanding benefits including employee and dependent tuition waivers at UConn, and a highly desirable work environment. Salary will be commensurate with the successful candidate's background and expertise. Other rights, terms, and conditions of employment are contained in the collective bargaining agreement between the University of Connecticut and the University of Connecticut Professional Employees Association (UCPEA).
