At the Minnock Institute, the offices of Global Studies, International Student and Scholar Services, Study Abroad, and English Language Learning coordinate new and important initiatives and provide the campus community with opportunities for academic programs, travel, research and community service. The Minnock Institute serves as a hub of internationalization on campus, a regional resource for global engagement, and the facilitator of more than 50 regional and international partnerships.
Position Summary:
The temporary Office Assistant in the Minnock Institute for Global Engagement supports office administration and the operation of global programs at Bridgewater State University. Under the supervision by the Assistant Provost for Global Engagement, the position supports the Director of Global Programs and other global programs coordinators for advancing global program events and activities.
This is a temporary, non-benefited position.
Essential Duties:
1.Perform clerical duties including but not limited to answering telephones and directing calls; data entry; responding to departmental e-mail and voicemail; taking minutes at staff meeting; ordering and picking up copies; and sorting and distributing mail daily.
2. Assists with administrative needs, including management of calendar, scheduling, receipts, travel, staff scheduling, policy/procedures documentation and dissemination in accordance with university practices.
3. Assist the Assistant Provost and Director of Global Programs with budget related administrative duties such as use of Banner system to create purchase orders, submit invoices, monitor payments, assist with collecting documentation to justify expenditures. 4. Assist the Assistant Provost and Director of Global Programs with monitoring of department pro-card purchases, reallocation using the Concur system, maintaining records.
5. Aid with event planning, event reservations and catering orders, including create and publish promotional materials such as flyers, pamphlets, and event programs.
6. Attend required staff meetings as needed. 7. Assist with development and publishing of Global Engagement calendar of related programs, events, and workshops.
8. Assist with updating of website information and posting resources and events, etc.
9. Assist with the coordination and collaboration with BSU academic, student and financial divisions and departments relevant to global engagement and global learning issues.
10. Gather assessment data, assist with research and run reports as needed.
11. Assist with the day-to-day supervision of graduate student for global programs.
12. Other duties as assigned.
