Keck Medicine of USC Advancement (Keck Advancement) is seeking a Donor Relations Coordinator (the Coordinator). Reporting to the Senior Director of Donor Relations, the Coordinator is a critical member of the Donor Relations and Events team and will administratively support the strategic stewardship, retention, and cultivation of donors to the USC Keck enterprise.
The Coordinator will support important day-to-day activities and key programs in the donor relations portfolio. The Coordinator joins a growing donor relations and events team to handle the needs of USCâs $3B Campaign for Health, and will work collaboratively with colleagues across Keck Advancement, the USC Keck enterprise (Keck School of Medicine, Keck Medicine of USC, Norris Comprehensive Cancer Center, Verdugo Hills Hospital, and more), USCâs central advancement team, and others.
The individual who holds this position is expected to be detail-oriented and organized, possess interest and skills in project management as well as data management and analysis, demonstrate strong writing abilities (particularly around drafting and proofing), work proactively, manage multiple stakeholder and project needs and priorities, excel in customer service, act as a team player, and promote an environment that fosters inclusivity and creates unbiased opportunities for contributions through ideas, words, and actions that uphold principles of the USC Code of Ethics.
This position is currently hybrid (remote and in-office weekly).
Responsibilities
Provide comprehensive administrative support, project tracking, and data analysis across the Donor Relations team.
Develop and/or maintain electronic tracking systems, project pipelines, gift records, donor databases, and other systems as assigned. Assist team in setting and responding to key portfolio priorities within pipeline. Analyze performance and ROI of teamâs outputs.
With direction from the Senior Director, and in collaboration with Donor Relations team (including Events Coordinator), provide regular updates and insights on key portfolio metrics to help team drive data-informed decisions.
Administer Donor Relationsâ weekly gift acknowledgment process by liaising between Donor Relations, gift officers, advancement leadership, and other key Keck Advancement contacts to move each weekâs electronic and print acknowledgment letters through a multi-step review and finalization process.
Assist in the drafting of weekly gift acknowledgments as assigned to thank donors appropriately for their giving. Prepare weekly acknowledgments and other correspondence for mailing.
Take necessary steps to address opportunities to streamline, improve, and/or modify key portfolio processes and programs to ensure efficient workstreams and consistent quality in teamâs output.
As assigned, arrange, attend, note take, and support prep and follow-up for internal team and external meetings related to key portfolio efforts.
Process requisitions and invoices for team expenses.
Respond to general inquiries and requests for relevant materials such as pulling donor lists, historical and archived documents, and more. Support Donor Relations team in knowledge management of gift agreements.
Contribute to the strategic implementation of the donor relations operation. Collaborate in the development, execution, and maintenance of new donor recognition, retention, and stewardship program/activities.

Minimum Qualifications:
Bachelor's degree or combined experience/education as substitute for minimum education.
3 years of experience or combined education/experience as substitute.
Preferred Qualifications:
Experience working in a complex institutional setting, especially medicine and/or academia.
Demonstrable project management, writing, and coordination skills.
Strong communication, interpersonal, and relationship-building skills.
Ability to work proactively and independently, as well as cooperatively with team members.
Exercise high level of diplomacy, tact, integrity, and honesty.
Demonstrate sound judgment, effective decision-making skills, and discretion (including maintaining confidentiality as required).
Critical thinking skills and ability to see active and potential problems, propose solutions, and effectively make recommendations.
Proficiency in Microsoft Office Suite, Google Drive, Zoom.
Experience with Salesforce, including Marketing Cloud, as well as Adobe, InDesign, and other design and database software programs.
Willing to follow safety protocols related to COVID-19.

The hourly rate range for this position is $31.90 - $32.70.
