The Opportunity
The SUPREME Center is seeking an experienced administrative assistant that will respond to a wide variety of non-routine inquiries from diverse internal and external sources, including center leadership, 20+ PIs, the sponsor, individuals at other universities, and internal partners such as finance, HR, Office of Global Learning, and more. In this role, you will:
- Be responsible for general project management needs of SUPREME related to submission of sponsor required reports and data management.
- Organize weekly/monthly/quarterly meetings, including all logistics from securing the selected
speakers to sending invites to handling the day-of AV needs. - Arrange and coordinate on-site and off-site events, including travel logistics, securing meeting rooms and hotel room blocks for attendees, dining arrangements, and all meeting logistics including agenda publication, taking care of invitations, arranging AV, and more.
- Provide administrative support to the Jena-Xing research group, which includes managing job
offers/letters for postdocs, coordinating visa-related needs in conjunction with HR and Global Learning, overseeing procurement for the group including lab equipment and supplies, making travel arrangements, and preparing letters and correspondence on behalf of leadership.
This is a full-time (39/hours/week) endowed position that is based in Ithaca, NY. This position follows a 3:2 campus-to-home hybrid work schedule, but this is subject to change at any time. Typical work hours are 8am-4:30pm, but hours are flexible and will be mutually agreed upon.
What We Need
We are looking for a team member who takes initiative, has strong computer skills, is detail-oriented and creatively problem solves. Additionally, you will:
- Hold an Associate's or bachelor's degree with a minimum of 4-5 years of related experience in a fast paced, evolving research environment.
- Display strong computer skills, including Word, Excel and PowerPoint.
- Utilize excellent analytical, organizational, problem solving, and verbal and written communication skills.
- Have experience and confidence using conference software such as WebEx, Zoom.
- Display a professional demeanor with the aptitude to provide excellent customer service to a diverse audience in a positive and collaborative manner.
- Be organized and have the aptitude to help organize and maintain timelines for others. This position has responsibilities that span across several units within the University, so experience managing and leading processes is essential.
If you possess these experiences this may be the role for you! There are a few other qualifications that we would view as incredibly helpful in this role, to include:
- In-depth knowledge of Cornell University administrative policies, procedures and operation preferred.
