The Custodial Services Operations Coordinator is responsible for supporting the Custodial Operations Department and interacting with campus customers and stakeholders through various mediums. The Coordinator oversees the work order management system; coordinates event coverage; posts and tracks overtime shifts; coordinates pest control services; and coordinates equipment maintenance, repair, and parts inventory. The position also assists department managers and supervisors with building walkthroughs, quality control, and special projects.
The ideal candidate will demonstrate leadership experience; proven project management skills including the ability to meet deadlines, work independently and manage multiple priorities; and excellent customer service skills and effective communication skills to build strong working relationships with department managers, supervisors, staff, and vendors.
Responsibilities include:
Proof work requests for acceptance/rejection, including determining work order priority, supervisor assignment
Handle all emergency requests by mobilizing the relevant supervisors; communicate each emergency to Custodial Managers; and inform other University departments, as necessary
Monthly closing out TMA work orders by verifying that chargebacks are assigned to proper cost centers and aid in making any necessary corrections
Attend event coordination meetings with different departments such as Athletics, Admissions, Community Outreach, and Greek Life
Acting member of the University’s Commencement Committee
Record and track all events
Report events and post the necessary overtime shift needs for event coverage and/or clean-up
Create and distribute Event Work Assignment sheets for employees assigned to coverage
Produce and post monthly and semi-annual reports
Create listings of upcoming overtime shifts and distribute to department employees for signup
Apply all labor hours to appropriate work orders and notes chargeable billing when applicable
Assign weekly work tickets to pest control technician and maintain records
Interact with pest control and wildlife control contractors on any emergency service needs
Coordinate semi-annual preventative spraying in all campus residence halls and apartments with the Office of Residence Life and Housing
Create, review, and assign work orders for department mechanics
Coordinate repairs to equipment from outside vendors
Maintain equipment inventory and yearly audit
Assist with new employee orientation
Assist with building walkthrough inspections, in particular campus residence halls and apartments during summer months
Provide back-up coverage as needed for Custodial Operations tasks
Minimum Qualifications
Three years of advanced clerical or para-professional work which included the collection, recording, compilation, and presentation of office management or program related information OR
Any equivalent combination of experience and training
An Associate’s degree may be substituted for two years of required experience
Proficiency in Microsoft Office Programs including Outlook, Word, and Excel
A valid driver's license
Required Knowledge, Skills and Abilities:
Ability to use a computer to collect, compile, and assemble data and reports
Ability to perform detailed work involving written information by preparing reports of findings according to appropriate standards of content, clarity, grammar, and format
Ability to develop and maintain effective working relationships with associates in the performance of work
Ability to analyze varied data by applying the information against interpretive standards in the formulation of recommended action
Ability to identify problems and recognize appropriate solutions as a result of the analysis of data
Ability to communicate and work collaboratively with multiple constituencies
Preferred Qualifications
Experience with purchase requisition software such as SAP and BI
Experience with facility work order management systems, such as TMA
Prior higher education or K-12 experience
Prior facilities operations experience
As a member of the Facilities Divisional staff, this position is deemed essential. Essential employees must remain or report to work during partial or full day closings of the University due to hazardous road conditions, emergency circumstances or for other reasons.
