Written and Verbal Communication and Interpersonal Skills 25%: The Administrative Support Associate serves as the front desk receptionist and general phone support personnel serving the Division of University Advancement by greeting guests, answering the phone, and directing the guests and calls to the appropriate people. The Administrative Support Associate maintains contacts for the Campaign Management and Donor Relations team through personal interaction, phone and electronic communication with internal and external constituencies. The Administrative Support Associate displays the skillset to communicate in in-person and written channels on behalf of the Campaign Management and Donor Relations team. The Administrative Support Associate is responsible for executing appropriate individual and mass e-mail communications with campus administrators/faculty/staff, University Advancement staff, alumni, donors, and other constituents associated with University Advancement for the strengthening of the division. This position manipulates the full calendar for the Campaign Manager and provides calendaring assistance for the remaining members of the team. This position utilizes interpersonal communication skills when setting appointments for each individual as well as having the autonomy to juggle appointments or prioritize the order of contact for internal and external audiences seeking communication with the Campaign Manager.
Campus Liaison – 20%: The Administrative Support Associate will serve as the main point of reference for the Division of University Advancement's efforts to provide individual on-campus experiences for alumni and donors. They will build quality relationships and work collaboratively and professionally with campus contacts in the academic and student life divisions, colleges, schools, departments, and ECU Athletics/the Pirate Club in order to ensure efficient, high-quality cultivation and stewardship efforts. This position will develop a standard operating procedure for the logistical planning and execution of on-campus experiences under the direction of University Advancement leadership.
Budgeting – 15%: The Administrative Support Associate is responsible for aiding the Campaign Management and Donor Relations team in managing the line items in their ECU Foundation and State budget dollars annually. These duties include preparing and distributing the appropriate paperwork for all payments and reconciliations. In conjunction with aiding in budget management the Administrative Support Associate makes all travel arrangements and file the appropriate internal documentation for the Campaign Management and Donor Relations team.
Program Knowledge – 10%: This position also displays vast knowledge of State budget regulations and is helpful on the establishment and disbursement of state funds that cannot be used for fundraising solicitation purposes. This knowledge base helps navigate through the paperwork for sole source justification and comparable bid projects. This position also aids on ECU Foundation budget best practices for line-item establishment and distribution. This position has an in-depth understanding of the Campaign Management and Donor Relations team and their relevance to the overall fundraising totals achieved annually for University Advancement.
Information/Records Administration – 10%: The Administrative Support Associate aids in compiling, assimilating and organizing of often confidential alumni and donor information for the Campaign Management and Donor Relations team. This position will access the ONE database regularly to provide information to the Campaign Management and Donor Relations team. The position assists the team with briefings for university leadership as well as preparation of meeting materials such as agendas and PowerPoint presentations. This position will utilize Excel to assist in compiling data for meetings and mass communications.
Problem Solving – 10%: The Administrative Support Associate utilizes their best judgment when analyzing office workflow and the best ways to increase efficiencies for the Campaign Management and Donor Relations team's productivity. This position manages duties and scheduling for students supporting the Campaign Management and Donor Relations team. The Administrative Support Associate position has the flexibility to interpret what job items are most pressing and make the largest impact on daily productivity. The knowledge base of ECU internal policies for budgeting and HR provides the Campaign Management and Donor Relations team the ability to get the best result with the most efficient navigation of these university wide processes.
Planning/Organizing – 10%: The Administrative Support Associate fully coordinates the Campaign Manager's schedule ranging from internal and external appointments. This position also works on meetings or travel for the entirety of the Campaign Management and Donor Relations team. This includes scheduling of meetings, university spaces, flights, rental cars, hotels, conference registrations, etc. for a variety of fundraising and stewardship purposes. The Administrative Support Associate helps to plan, set up, and provide the agenda and corresponding meeting materials for all Campaign Manager meetings and presentations. This position assists with the planning and execution of university-wide stewardship events as well as individual on-campus experiences.
