As the primary point of contact for all internal and external constituents, this position requires professional administrative skills with a strong interpersonal communications aptitude, computer literacy, critical thinking, customer service orientation, and a collaborative interface within the organization. Key Responsibilities (Essential Functions):

Project administration: Ability to oversee and provide administrative support to multiple projects at once and to work in high volume, fast-paced, and goal-oriented atmosphere.
Plan and coordinate meetings, ensuring that all resources are prepared and in place for the meeting participants.
Regularly report to the President on the progress of managing and monitoring assigned projects and tasks, including requested data, schedules, issues, and concerns.
Conduct research, compile data, and prepare papers for considerations and presentation by executives.
Organize projects and maintain updates in project management software such as Monday.com
Attend meetings to record minutes, compile information, and provide recommendations to executives.
Meet with individuals, groups, and others on behalf of executives.
Review practices and procedures to determine whether improvements should be made in areas such as workflow, reporting procedures, or expenditures.
Critically review information and make recommendations to executives regarding strategic initiatives.
Office administration: Provide primary or lead administrative support for a wide variety of complex processes, including active purchasing of specialized equipment and supplies, and financial recordkeeping and reporting responsibilities.
Prepare agendas and make arrangements, such as coordinating schedules, facilities, and catering for meetings
Interface and communicate across various departments, all levels of internal and external constituencies.
Compose, edit, and prepare correspondence, reports, memos, and presentations using Microsoft Office software (Word, Excel, PowerPoint).
Update, maintain, and monitor calendars and schedule meetings and appointments.
Assist executives with coordinating travel schedules and other logistical details.
Compile written notes into clear and organized electronic formats.
Provide support to the outreach efforts of the executive team as they engage the surrounding community in accordance with the core values of the organization.
Perform other related duties as assigned.
Knowledge/Skills Required:
Experience in maintaining, monitoring, and reconciling financial records and accounts. Advanced experience with creating and maintaining spreadsheets
Proficiency and in using Microsoft Office suite, especially Word, Excel, and PowerPoint
Professional demeanor (face to face, telephone, email); ability to communicate with diverse population of people; ability to remain calm under pressure or when dealing with challenging situations.
Proven ability to maintain strict confidentiality and handle sensitive matters using discretion, diplomacy and good judgment, recognize and respond to emergent situations as necessary.
Outstanding written and spoken English language skills
Ability to edit/proof documents before distribution.
Ability to efficiently operate telephone, e-mail and related systems.
Ability to analyze situations, propose solutions to problems, anticipate needs, and use good judgment.
Excellent organizational skills
Proven analytical and problem-solving skills and willingness to take the initiative to address issues/solve problems as they arise.
Ability to set priorities and implement projects and day to day work in a fast-paced environment.
Ability to work on multiple complex projects simultaneously, following through from beginning to completion.
Must be service oriented with a focus on helping others.
Associate Degree and/or five+ years of administrative support to senior level administration.

Work Environment:
This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, projectors, filing cabinets and fax machines.

Position Type and Expected Hours of Work:
This is a full-time position. Days and hours of work are typically Monday to Friday, 9:00 a.m. to 5:00 p.m. Must be able to work from the office located in Chippewa Township, PA and conduct a minimum of 80% of work hours in the office.
Travel:
This job may require occasional travel. Travel is primarily local during the business day, although some out-of-the-area and overnight travel may be expected.
