The Event Education Coordinator’s primary responsibility is to assist in the development of education programs for ILTA’s portfolio of national and international conferences and events.
Position Responsibilities
Participate with the Service Delivery Team in the planning and strategies for conferences and events
Coordinate the development and execution of education programs for events:
Conference Education Planning
Coordinate educational program development (project plan, timelines, checklists, resources)
Volunteer Leaders
Coordinate and manage communications with planning committees, including planning agendas and leading discussions with teams of volunteers on conference calls, through email, and in-person meetings
Answer questions from volunteer leaders
Education Program
Act as backup for Events Education Manager in working with the volunteer leaders to develop the educational program for ILTACON
Coordinate the development of the educational program for other ILTA live events (LegalSEC Summit, ILTACON Europe, Women Who Lead Roadshow, and others if applicable)
Coordinate orientation webinars for ILTACON and LegalSEC Summit planning committees and speakers
Coordinate content for conference websites, mobile apps, and other online resources
Coordinate session presentations and materials
Coordinate evaluations for applicable events and present to the Events Education Manager for review/analysis
Monitor sessions (in person and online, depending on the format of the event) and assist with event logistics
Speakers
Coordinate communications with speakers (guidelines, resources, timelines and published information)
Ensure that each speaker signs the Speaker Agreement and is aware of the deadlines and other event logistics
Coordinate and circulate the Speaker Know Before You Go webinar (Event Education Manager, Conference Co-Chairs, and possibly additional members from the Service Delivery Team would speak at this webinar)
Coordinate the reservations of the “Speaker Ready Room” at conferences
Analysis and reporting
The educational slate, including areas of focus, target audiences, member/vendor speakers
Track volunteer and speaker demographics and compare to prior years
Assemble post-conference analysis: attendee demographics, session evaluations, and meetings/feedback given by staff, attendees, and volunteers after conferences
Collaborate with other functional areas
IT Department, coordinating event technologies (speaker management, mobile event apps, etc.)
Education, coordinating with overlapping education programs
Membership, coordinating with education and thought leadership
Business Development Team and investigating Business Partner-related inquiries
Accounting, coordinating expense tracking (for self and volunteers)
Internal Relations
Reports to the Event Education Manager
Effectively maintains relationships with other functional area leads and team members as they relate to events
Actively participates in conversations with other members of the ILTA staff as needed
Attends conference-related meetings
Adheres to ILTA’s Core Values (see below) in all interactions
Reply to all inquiries from co-workers in a timely and professional manner
Qualifications
2+ years relevant work experience and knowledge of event education planning
Excellent oral and written communication, time management, conflict resolution, problem-solving, and project management skills
