Position Summary:
This position provides executive level support for the Associate Vice Provost, Technology Management & Digital Leadership (AVP) within the Center for Technology Management and Digital Leadership (CTL) at Northeastern University.
The Special Assistant & Project Manager is expected to demonstrate planning and oversight to ensure that the AVP's time is effectively allocated, and information is sufficiently presented to advance the priorities of the AVP, the CTL, and the University. The position will provide a comprehensive range of duties to ensure overall efficiency of daily operations and special projects for the AVP. Under direction, this individual will oversee a variety of administrative projects, communicate matters with internal and external constituencies including senior university leadership, faculty, and staff; design and produce reports and presentations, schedule and coordinate meetings, travel coordination and prepare expense reports on behalf of the AVP.
The Special Assistant & Project Manager is responsible for ensuring the efficient day to day functioning for the AVP and manages the administrative needs to ensure that their time is effectively allocated and that they have the information/materials needed to advance the priorities within the CTL. The position provides a comprehensive range of support services to ensure the overall efficiency of the Provost's Office in a high level and fast-paced environment. The position requires excellent skills in organization, communication, multi-tasking and timely completion of work products.
The candidate will have a proactive approach and possess exceptional organization, prioritization, and communication skills with the ability to use their own initiative to prioritize and manage multiple complex calendars and daily digital workflows. The qualified candidate must be able to manage relations with key constituents and communicates with other staff to delegate and/or follow-through on tasks as appropriate. This position requires that the Special Assistant & Project Manager have the flexibility to work before and after regular hours, from time to time, depending on the needs of the AVP.
Qualifications:
Bachelor's degree required; master's preferred. Minimum of 3-5 years of administrative experience required, preferably in a higher education or executive setting. Applicant must be a self-motivated worker who can anticipate problems and demonstrate significant independent judgment. Detail oriented; high level of attention to accuracy and completeness required. Excellent verbal and written communication skills. Must have excellent computer skills including Microsoft Office (Word, Excel, PowerPoint, Outlook, and SharePoint). Database and Web skills required.
Responsibilities:
Manage the AVP's Activities and Calendars (40%)
Manage the AVP's calendar and coordinates executive level meetings. Manage high volume of demands for the AVP's time by prioritizing requests while demonstrating significant independent judgment in identifying and resolving potential conflicts. Prepare agendas, presentations and meeting notes in a timely manner to ensure the AVP is well-prepared for all meetings, events and speaking engagements. Anticipate upcoming events and required preparation. Follow up with meeting attendees as required. Must be able to balance and prioritize and multi-task effectively the multiple projects and deadlines of the AVP's portfolio.
Travel Coordination: (30%)
Manage AVP's travel arrangements, prepare itinerary and event information, Process and track travel reimbursements; reconcile travel expenditures and office purchases.
Research and Special Projects for the AVP: (20%)
Conduct research and prepare reports in anticipation of information needs. Manage event coordination. Plan and facilitate special events hosted by the AVP. Provide assistance and leadership for special projects. Monitor meeting/event deliverables as they relate to particular projects/assignments.
Communication on Behalf of the AVP: (10%)
Communicate with internal and external constituencies on behalf of the AVP. Review, revise and summarize correspondence and briefs for the AVP. Create accurate and professional PowerPoint presentations and Word and Excel documents. Must have excellent communication, writing, and editing skills.
