Under the supervision of the Academic Affairs Provost Office and Event Manager, the Senior Administrative Coordinator will perform a variety of skilled clerical and administrative duties in support of five LMU departments including Campus Public Safety Services, Campus Event Services, Marketing & Communications, School of Film & Television, and College of Business Administration. Performs work of a confidential nature, and exercises initiative. Has knowledge of department/unit/program practices and policies. Regularly performs a significant amount of work that requires a degree of expertise. Responds to inquiries. Research information to resolve problems or issues. Manage event(s), conference(s) &/or meetings logistics.
POSITION SPECIFIC RESPONSIBILITIES:
- Supervise the Front Desk; Support faculty/staff/students with access issues.
- Serves as a liaison with all tenants working to create a collaborative and welcoming environment, respectful of everyone's needs.
- Check Event Scheduling system, Mazevo, to review upcoming events and ensure compliance with building protocols.
- Be mindful of events, filming, classes overlapping and impacting each other.
- Assist event vendors upon arrival.
- Greet event guests on arrival and direct to meeting location.
- Liaison with building manager during event if needed to manage custodial, security, etc.
- Ensure accurate and professional information flow to and from graduate program directors, staff, students, and stakeholders via a variety of resources and systems. Will manage verbal and written correspondence, e-mail, and other online venues.
- May create & maintain standard spreadsheets &/or databases & prepares queries, reports, statistics, tables, charts, etc. based on information compiled from various sources; determines format, elements, trends, etc.
- Work closely with Facilities Management to resolve equipment, HVAC, custodial, and maintenance issues.
- Disseminate communications from Brickyard Management to all tenants.
- Work closely with DPS on Access Control and assist with access issues at the Front Desk i.e., Onecard not working or lost.
- Be the Point of Contact for Brickyard Management Emergency Management Training.
- Work closely with LMU Parking and Transportation and the Brickyard Parking Company to facilitate parking requests and communicate changes to any procedures.
- Assist with COI compliance including but not limited to building assess request and delivery notifications
- Perform other duties as assigned or requested.
EXPERIENCE/QUALIFICATIONS:
- Minimum 4 years of experience in providing administrative and project management support in an academic environment. Working expertise with implementing a project from conception to completion.
- Demonstrated computer competency, knowledgeable of Microsoft Office Suite and automated accounting systems, highly proficiency in Excel, and MacOS.
- Ability and willingness to address technical issues that may arise.
- Must have intermediate knowledge of office machines, word processing, spreadsheet, email, software applications and databases
- Must be self-motivated, pro-active, and take the initiative in problem solving, with the ability to manage multiple conflicting priorities.
- Experience working with confidential information with the ability to exercise complete discretion.
- Ability to work effectively with internal and external constituencies and technical professionals to accomplish group tasks and projects.
- Meticulous attention to detail. Must possess the ability to perform a variety of tasks with accuracy and speed.
- Must possess exemplary written and oral communication skills evidenced by effective written communications in a clear, concise, and articulate manner.
- Possess good organizational, leadership, problem solving, analytical, and facilitation skills.
- Must have exemplary people skills and the ability to use a professional, tactful manner when interacting with a diverse constituency of faculty, staff, and students to provide excellent customer service while achieving assigned goals.
- Must possess a strong work ethic, be committed to meeting deadlines, and produce a thorough, neat, and accurate work product.
Preferred Qualifications
- Bachelor's Degree preferred in Business, Communication, or related field or equivalent 2 years' experience. Incumbent will be expected to continue upgrading knowledge, skills, and abilities needed to keep abreast of regulation/policy changes.
