POSITION SUMMARY: ??
The Quality Department directs and supports Dana-Farber Cancer Institute???s mission of high-quality, high-value, safe, patient-centered oncology care. Reporting directly to the Vice President, Quality and Patient Safety, the Administrative Director is responsible for the daily and strategic operations of the department, including fiscal, personnel, and administrative oversight.
PRIMARY DUTIES AND RESPONSIBILITIES:
Manage and mentor administrative staff of the Department
Serve in an advisory role for VP and Chief Quality Officer on Departmental and Institutional matters
Partner with VP on Department reorganization and strategic department operations
Coordinate with Department leaders to establish, implement, and ensure compliance for departmental policies, protocols, and procedures
Manage and coordinate internal department communications, including staff newsletter
Lead, facilitate, or delegate department meetings, including preparation (agenda setting, coordination of presenters, preparation of materials), meeting minutes, and action items
Construct professional development and team-building sessions for QPS staff members
Coordinate and lead Department Goal setting meetings; work with VP and Chief Quality Officer on strategic planning
Ensure major QPS initiatives across the department are tracked and communicated to key stakeholders
Chair administrative staff meetings
Manage content on internal and external Quality and Patient Safety web pages
Work with VP on department space assignments and dynamic work implementation
Provide other departments with updates and descriptions of QPS initiatives and works in process
Manage operating, capital, grant, and gift budgets for the department
Develop and monitor the budgets for the Department, and prepare reports as requested by the department leadership
Oversee the preparation of and sign off on purchase orders
Human Resources Management
Support departmental coordination with HR in close coordination with managers and VP
Serve as administrator in PeopleSoft to enter and approve personnel transactions, as needed
Support development of job descriptions across the department
Support staff engagement initiatives under the direction of QPS leadership
Establish interviewing and onboarding processes
Design and implement department development program
Ensure all aspects of personnel management are aligned with Institute policies
Ensure coordination of orientation of new employees, including identification of appropriate introductory meetings and shadowing opportunities
Ensure timely completion of 90-day and annual performance evaluations for staff
Provide training and coaching to direct reports for staff development
Management of Institute Initiatives
Serve as business owner of major department projects as requested by department leadership
Work with senior leaders to develop initiatives and provide management to ensure success
Manage learning retreats and seminar series with trustees, senior leaders, clinicians, and Faculty from internal and external institutions
Staff internal and inter-institutional committees and workgroups, including participating in the strategic direction of the committee; preparing agendas, minutes, and action items; and project management and reports as necessary.
Represent QPS on interdepartmental committees and interface with clinical, administrative and senior leaders as appropriate
Serve as facilitator for other teams??? sessions focused on gathering information and improving processes within the department
Oversight of Department operations; three direct reports (executive and administrative support staff)
Majority of work is performed in an office setting, and in frequent team meetings.?? Occasional evening and weekend work may be required to meet deadlines.
This role is hybrid, onsite 2-3 days per week.
MINIMUM JOB QUALIFICATIONS:
Bachelor???s Degree in business or health care administration or a related discipline required. Master's Degree preferred.??
7 years of related management experience required
Quality and patient safety experience preferred
Experience in a hospital or healthcare setting strongly preferred
Experience/training in process improvement (e.g. Lean) preferred
KNOWLEDGE, SKILLS, AND ABILITIES REQUIRED:
Demonstrated ability to manage multiple priorities and responsibilities
Working knowledge of project management philosophies
