Within UAA, the Office of Merit Scholarships, Fellowships & Awards (OMSFA), housed in the Center for Experiential Learning and Diversity (EXPD), assists University of Washington undergraduates in developing the skills and personal insights necessary to pursue scholarships appropriate to their goals. Our office:
Provides information and resources to increase student awareness of the scholarship search and application process via workshops, events, online resources, and individual advising.
Mentors students through an intense process by offering resources, advising, and individual feedback which result in competitive applications for local, national and international scholarships.
Collaborates with faculty and staff to identify and support potential student scholars.
OMSFA has an outstanding opportunity for an Assistant Director within our small, dynamic, collaborative team.
The Assistant Director will advance the goals of OMSFA, EXPD and UAA by managing scholarship competitions and program events, activities and resources. The Assistant Director will actively seek and develop competitive student applicants for institutional, local, national and international opportunities, providing academic, career and/or personal counseling to students who are nominees or applicants for scholarships and fellowships.
This position involves working with and developing close collaborative relationships within the group of experiential learning programs under the supervision of the Associate Dean, as well as with units across all three campuses that are partners and participants in various efforts related to scholarships and fellowships. This requires the use of sound judgment and a thorough understanding of policies related to higher education, training, recruiting for equity and diversity, scholarship review, and scholarship awarding. The Assistant Director represents and communicates the goals of OMSFA, EXPD and UAA, and is a key liaison with local, national, and international scholarship foundations and agencies, representing the University to those organizations, and maintaining strong collaborations to ensure our undergraduate students and alumni have access to external funding sources. The Assistant Director also recruits, trains, coordinates and recognizes faculty, staff and alumni volunteers for participation in various aspects of scholarship and fellowship application cycles.
DUTIES AND RESPONSIBILITIES
Advise and prepare students for involvement in scholarship, fellowship and other funding opportunities. Represent OMSFA to students, faculty, administrators, parents, and outside organizations in meetings, workshops, and one-on-one settings. Initiate contact with organizations and individuals regarding planning projects and resolving problems. (60%)
Advise and assist individual students and groups in the process of competing and obtaining undergraduate scholarships, fellowships and other funding opportunities;
Develop, schedule, and present program opportunities at regular scholarship information sessions and other events;
Design and lead workshops and seminars to assist students in developing skills and tools relevant to undergraduate scholarships and fellowships (e.g., workshops on: development of competitive scholarship applications, curriculum vitae, writing the personal statement, etc.);
Assist with the development of collaborations and links to faculty, students and staff.
Serve as the primary contact for the dissemination of information and application processes for local, national, and international undergraduate scholarship, fellowships and other funding opportunities;
Plan and coordinate student application processes and participate in evaluation and selection committees for local, national and international scholarship awards and nominations;
Lead selection process for national & campus scholarship competitions, including convening faculty review committees, serving on those committees, and submission of final candidates and materials; o Serve as the university’s representative to these national and international foundations/organizations; o Establish policies and protocols for application, interview, and nomination processes; o Recruit and train campus committee volunteers (faculty and staff); o Provide intensive student advising both for applicants for campus nomination and nominees once identified.
Manage online scholarship applications, applicant and scholarship databases, and manage communications for scholarship applicants, including tracking review process, communicating results and preparing final scholarship submissions.
Lead the development and implementation of major OMSFA events and initiatives such as the Scholarship and Fellowship Fair, Global Fellowships Prep, and other scholarship-related events. Plan and develop new OMSFA initiatives in collaboration with partner organizations, students, staff and faculty. (40%)
Lead the development and facilitation of Global Fellowships Prep; o Collaborate with advisers across all three campuses, and the Graduate School, to develop advising resources accessible to all UW students and alumni. This position leads this effort on behalf of OMSFA; o Develop and deliver GFP curriculum and community-building amongst applicants, from scholarship information sessions to application workshops, group feedback sessions and alumni panels. Lead facilitator for sessions intensively throughout spring and summer, and less intensively at other times throughout the year; o Stewarding applicants with the goal to reduce barriers students/alumni, particularly those from underrepresented backgrounds, face in applying for internationally competitive programs. Planning and crafting communications to students, to keep them engaged, aware of and confident in utilizing resources, advising support, and empowered to apply and apply competitively even if they choose not to meet with an advisor; o Stewarding faculty, staff, alumni and student volunteers. Planning and developing communications for volunteers who participate in panel discussions, feedback sessions, and review and interview process (as well as other program processes). This includes volunteer recruitment, training, and retention efforts to keep them informed, engaged, prepared for their committee service, and willing to come back year after year to support our students.
Lead the development of national scholarship workshops and other similar initiatives;
Lead the development of the scholarship/fellowship fair programming; o Recruiting participants, volunteers, advertising and marketing to students.
Lead the development of scholarship-related publications and communications for students and other audiences; o Developing new and creative ways to engage undergraduate students and alumni, ensuring inclusive access to scholarships and to our office.
Support office fundraising efforts; and
Assist in supervising the work of undergraduate assistants and graduate student assistants engaged in student advising, event coordination, maintenance of the office website and database of scholarships, and other student job functions including providing recommendations on the hiring and termination of student assistants.

Master’s degree in any academic field;
A minimum of four years of experience in student services, program coordination, leadership, advising or teaching role in higher education.
Equivalent education/experience will substitute for all minimum qualifications except when there are legal requirements, such as a license/certification/registration.
Candidates for this position must enjoy working with students and alumni and possess strong interpersonal skills, including a demonstrated ability to work effectively with students, alumni, faculty and staff with diverse cultural backgrounds.
Applicants must have strong and proven community-building skills and a record of successful involvement in program development and innovation.
