POSITION SUMMARY Under the direction of the Director, Treasury and Special Projects, the Fiscal Coordinator coordinates accounting and reporting for fixed assets and other items within the Treasury and Special Projects department. This role serves as the initial point of contact for Capital Planning project-related tasks managed by Facilities Planning, Design, Construction, and other departments. This position assists the Office of Resource Planning and Strategic Support with Controlling Board requests and Joint Use Agreements, as needed. The Coordinator serves as the ERP Fixed asset module expert. Assists the Director, Treasury and Special Projects and other leadership as needed.
ESSENTIAL FUNCTIONS OF THE JOB
Fixed Asset and Capital Projects Coordination Coordinate accounting and reporting for fixed assets, including construction in progress and leases. Serve as a liaison with Resource Planning and Analysis and Facilities Planning, Design & Construction to ensure appropriate recording for large, complex construction projects, tracking activity processed through the State OAKS system, and reconciliations through completion. Collaborate with Purchasing and Accounts Payable, IT, Facilities Planning, Design & Construction, Legal Office, and others to capture purchasing activity, contracts, and other documentation for fixed asset capitalization. Reviews and completes capital expenditure analysis, equipment financing decisions, analysis of vendor and customer payment terms, etc.
Serves as an "expert" of the fixed asset ERP module for recording fixed asset additions and deletions, calculating annual depreciation, and testing system patches and upgrades. Assists with coordination of periodic physical inventory of fixed assets. Serves as back-up to Fixed Asset Accountant. Provide various reports to the Director of Treasury and Special Projects and other leadership.
Leadership Oversees the coordination of the Treasury and Special Projects department by providing functional oversight to full-time and part-time associates. Works closely with department leadership to identify and communicate issues and needs and takes the initiative to remedy issues within College and department guidelines. Provides training to Accountants and others, as identified by leadership. Reviews and approves various tasks by Accountants, Specialists, and others, as identified by leadership.
Special Projects Participates in a variety of strategic initiatives and ad-hoc projects. Assists with Request for Proposal processes, as needed.
General Accounting Summarizes financial positions. Prepares financial and operational reports, statements, and projections. May review analysis of financial information detailing assets, liabilities, and fund balances. Documents and may approve business transactions to the general ledger. Reviews reconciliations and corrects general ledger accounts with subsidiary ledgers. Reconciles complex transactions. Analyzes, verifies, and posts transactions to journals, ledgers, and other records.
Analyzes, investigates, and corrects accounting entries as needed. Keeps accurate records. Completes and maintains required documentation. Performs internal audits of financial records to ensure accuracy and compliance with regulations and procedures.

Works overtime as needed to meet business demands.

MINIMUM QUALIFICATIONS An Associate's degree in Accounting or a closely related field. Also must have four (4) years of related experience.
State Motor Vehicle Operator's License or demonstrable ability to gain access to work site(s).
