Caltech CTME is seeking a Senior Technology Administrator to help manage commercial technologies and business operations. In this role, you will be responsible for managing student lifecycle processes and their associated systems and data, including marketing operations (MOPS), customer relationship management (CRM), ecommerce for B2C and B2B course sales, student and program information (SIS), and learning management systems (LMS). In addition, you will team with department members to facilitate problem solving and systems enhancements for operations and program delivery/experience.
The savvy candidate has at least 5 years of experience in application management, web systems development, or database management with cloud-based systems in one or more of the following technologies: CRM, ERP, digital asset content management, ecommerce, or custom systems. Working knowledge of Oracle Financials, Salesforce, SugarCRM, SAP, Ellucian, Monday, OpenText, Adobe Marketo/Magento Commerce, Shopify, Big Commerce, Microsoft PowerApps/Power Automate or similar systems is preferred.

Job Duties - Maintain availability and use of commercial applications and make updates for a business user team of 7-10 people, including analysts, program managers, business development, and operations executives.
- Manage course product types, program categories, program and event names, program identifiers, attributes, pricing and payments, descriptions, delivery and attendance information.
- Manage data synchronization and integrity between marketing, CRM, ecommerce, and SIS/upstream accounting systems.
- Review platform exceptions and disposition as necessary.
- Handle CMS/content updates, teaming with program managers and coordinators.
- Monitor course order status, payments, student notices, etc.
- Configure sites - location, contact, store information, email addresses, etc.
- Oversee basic payment configurations and required processes for reporting.
- Maintain business rules, evolving as necessary for enhancements through new features, automation, and process improvement.
- Provide project management discipline in ongoing systems delivery and support processes (CRM, SIS, Commerce).
- Establish systems configuration review and testing processes for improved delivery of commercial activities and learning experiences.
- Coordinate with Caltech Information Management Systems and Services (IMSS) for core IT management, support, network systems, and needs for security and controls (e.g., PII, MFA, PCI, FERPA).
- Build relationships with our remotely distributed team, including Project Managers, Developers, and Project Coordinators.
Basic Qualifications - Prior experience administering commercial enterprise technologies, web development, systems configurations, website management.
- Demonstrated ability to lead through influence working in a cross functional team, building relationships with business stakeholders and 2-3 distributed teams with systems responsibilities. This person will have the proven ability to explain complex concepts in a way that enables the team and stakeholders to understand what they are doing and why.
- Strong written communication skills for systems management context, problem solving, analytics.
- Proficiency in systems documentation, including process mapping, data flows, architectures, systems integration, and agile project management.
- Ability to manage multiple tasks/projects simultaneously.
- Ability to demonstrate strong organizational skills, thoughtful decision-making, and task follow-through with attention to detail.
- Ability to handle related administrative tasks and priorities.
- Collaborate with, and coach, coordinators and analysts to help develop valued technical management skills and abilities.
Preferred Qualifications - Certification as a Project Management Professional (PMP), Agile Project Manager; ITIL or equivalent.
- 5 years of experience or more in application management and administration, DevOps, web systems development, or database management with cloud-based systems in CRM, ERP, digital asset content management, ecommerce, or custom systems. Working knowledge of Oracle Financials, Salesforce, SugarCRM, SAP, Ellucian, Monday, OpenText, Adobe Marketo/Magento Commerce, Shopify, Big Commerce, Microsoft PowerApps/Power Automate or similar systems is preferred.
- Certification as an administrator or power-user/expert in the applications systems.
- Experience in managed-services for cloud applications, services, or platforms from the vendor-side, as a systems integrator, project manager, or customer IT teams.
