The Nightingale-Bamford School is seeking a Human Resources Generalist. The Human Resources Generalist will support Nightingale’s Human Resources administrative needs, including payroll processing, HRIS database management, benefits administration; maintenance of employee records; coordinating annual effort reporting; and overseeing personnel systems.
The Human Resources Generalist will report to the Director of Human Resources and will support the operations of the Human Resources department.
We are looking for an experienced human resources professional who has the ability to support the Director of Human Resources in establishing and carrying out the strategic goals of the department while ensuring seamless execution of daily operations. The ideal candidate should be a hands-on, creative problem-solver, has previous generalist experience and wants to advance in the Human Resources field. The candidate should be able to view the Human Resources functions and processes with an objective eye and seek to challenge the status quo. With a strategic mindset they must continuously strive to improve systems and processes. The person needs to be extremely customer service oriented; always anticipating the employees’ needs. A positive and collaborative attitude and teamwork approach are essential to be successful in this role. This position should be a thought partner to the Director of Human Resources and to the Business Office operations.
RESPONSIBILITIES INCLUDE (but are not limited to):
Payroll, Benefits and Compensation
Ensure input and submission of an accurate and timely payroll.
Assist employees with payroll and benefits related requests and in the day-to-day efficient operation of the HR Department.
Ensure the employee timekeeping system is utilized properly and is in compliance with Department of Labor guidelines.
Administer all employee benefit programs including retirement plans, medical, dental, vision, life insurance, disability, etc.
Onboard new employees into the payroll and benefits systems in a timely, clear and supportive manner.
Team with the Director of Human Resources in the transition to a new benefits broker offering enhanced benefits and services.
Work with the benefits broker to ensure benefits documentation is updated, compliant, and available to employees upon request.
Reconcile monthly benefits invoices in a timely manner.
Oversee and ensure ERISA, ACA and HIPAA compliance in all areas of benefits administration.
Ensure that insurance enrollments and COBRA notices for terminations are completed accurately and in a timely fashion.
Assist with healthcare claims issues when necessary, responding to benefits questions and directing benefits issues to the appropriate carrier or insurance broker as necessary.
Perform retirement plan administrator duties, including assisting in the annual pension audit and ERISA filings and serving as point of contact for employees and retirees regarding their retirement plans.
Educate employees on the school’s benefit plans and be knowledgeable of changing legislation that impacts our benefits.
Coordinate claims for Workers Compensation and Unemployment Compensation as necessary.
Manage the process for requests of various leaves of absence, ensuring compliance with all federal and state leave policies
Complete marketplace/industry surveys including NAIS/DASL, EEO, Interschool etc.
Prepare annual employee contracts, stipend agreements, and compensation letters and update as courseloads and employment agreements change.
Records Maintenance and Compliance
Maintain personnel and payroll records, including time and attendance information, and other personnel information in compliance with applicable laws, regulations, and policies.
Support the Director of Human Resources in research and analysis on special projects.
Organize and maintain confidential active and inactive employee personnel files.
Ensure all employee, payroll and benefits related files are stored electronically in accordance with the school’s document retention policy.
Ensure all members of the professional community are in compliance with training requirements such as Sexual Harassment Prevention training, Mandated Reporter and Child Abuse prevention training.
Assist in the administration, interpretation and application of personnel policies and procedures.
Database Management
Maintain payroll, HRIS and Applicant Tracking Systems.
Ensure all external benefits databases are accurate and up to date.
Perform accurate and timely entry of data into the HRIS/Payroll system for new hires, terminations, employee status changes, supervisor changes, and other personnel information.
Ensure the assignment and distribution of appropriate benefits checklists for new hires and termination checklists for departing employees.
Work with the Technology Department to inform them of new hires and terminations.
Employee Recruitment and Onboarding
Assist the Director of Human Resources and the hiring managers in the hiring and recruiting process; create job descriptions and postings, post open positions to the appropriate job boards, websites, list serves to ensure we are encouraging diverse populations to apply to our opportunities.
Perform background checks and distribute fingerprinting and health form requirements are fulfilled in a timely manner for newly hired employees.
Ensure that new hire paperwork and requirements are completed.
Systematize and implement procedures for hiring, appointing, orienting, training along with the Director of Human Resources.
Update, and maintain all job descriptions. Recommend job classifications.
Performance Management and Employee Relations
Support the performance management processes for all members of the professional community.
Be readily available to listen and provide counsel for employee questions and concerns about policies, payroll and benefits and know when to escalate issues to the Director of Human Resources.
Other duties as assigned by the Director of Human Resources or the Chief Financial and Operating Officer.
REQUIRED QUALIFICATIONS:
Bachelor's or Master’s degree in business administration, human resources, counseling, organizational management or a related field required.
PHR or SPHR training.
Must be familiar with how to navigate full-service payroll/HRIS systems (Paycom).
Strong working knowledge of human resource concepts, practices, and procedures.
Awareness of federal, state, and local employment laws such as FMLA, FLSA, ADA, etc.
A minimum of 6 years of human resource generalist experience, including payroll and benefits administration in an educational, or non-profit or mission driven organization.

Proficiency with Microsoft Office Suite and human resource information systems.
Knowledge of basic accounting and audit principles.
Must be knowledgeable of database systems, structure, and best practices.

Ability to set and execute goals that align with the strategic vision of the department.
