Job Summary:
The Program Assistant 2 is a support role for the Master of Science in Leadership for Creative Enterprises (MSLCE) program in the School of Communication. The MSLCE is a one-year full-time program for rising and established professionals in the creative industries. This role will primarily assist the program with content management, event coordination, financial processes, and reporting. The incumbent will maintain, execute and update the program’s social media calendar and website, produce internal and external program communications, arrange catering, travel and space for program events, process purchasing and reimbursement requests, and maintain program databases and produce regular reports, among other duties. The incumbent will work productively with staff, faculty, current students and alumni on a variety of projects.
Provides a variety of clerical & administrative support which may include drafting & typing letters, reports, charts, graphs, etc. using word processing, spreadsheet, database, &/or presentation software; basic bookkeeping; screening calls & visitors; preparing agendas & making arrangements including travel, etc. for meetings & special events; &/or managing supervisor's &/or dept calendar.
Specific Responsibilities:
Documents & Databases
- Proofs for spelling & grammar.
- Enters information into spreadsheets &/or databases.
- Compiles routine reports, statistics, tables, charts, etc. from readily available information.
Website
- Coordinates content maintenance of websites &/or blogs.
- Coordinates program’s social media calendars
Accounting
- Processes accounts payables &/or receivables.
- Verifies income &/or expense.
- Resolves discrepancies & over/under budget problems.
- Enters, tracks, & maintains documentation & logs of financial transactions.
- Ensures that charges have posted to appropriate accounts.
- Assists with reconciliation of accounts.
Coordination
- Coordinates supervisor's &/or dept calendar.
- Coordinates registration & travel.
- Coordinates events which may include scheduling rooms &/or guest speaker & arranging for routine materials, technology & refreshments.
- Coordinates print and digital versions of quarterly program newsletter
Contacts
- Provides information via phone, e-mail, mail, etc.
- Represents supervisor in routine/standard situations with various levels of personnel both internally & externally.
Supervision
- Coordinates work of receptionists, program assts, temporary/work-study students, etc.
Miscellaneous
- Performs other duties as assigned.
- Document program events with photography
Minimum Qualifications:
- A high school diploma or equivalent required.
- 2 years of administrative support or other relevant experience required.
Minimum Competencies: (Skills, knowledge, and abilities.)
- Intermediate knowledge of word processing, spreadsheet, email, and database software programs is required.
Preferred Qualifications:
- Bachelor’s degree in a related field.
Preferred Competencies: (Skills, knowledge, and abilities)
- Experience with Wordpress or similar CMS.
- Familiarity with Adobe Creative Suite including InDesign, Photoshop and Illustrator
- Familiarity with photography
- Experience with Social Media platforms Facebook, Instagram, Twitter, LinkedIn
- Ability to adapt and change with organizational needs.
- Ability to be flexible and function effectively in team settings.
- Ability to work in a professional manner both independently and with others.
