The Assistant Director of Community Relations is part of the Community & Government Relations team and reports to the Executive Director of Community Relations and Strategic Partnerships. The Assistant Director is responsible for community relationships on behalf of UCSF, including UCSF Health and Campus divisions. S/he designs, develops, and implements short and long-term strategic plans, programs, events, and activities, and works in specific neighborhoods, Citywide, and occasionally with hospital affiliates in the broader Bay Area region.
External Community Work (35%): As the liaison between campus and community, the Assistant Director oversees complex external relations programs, projects, and events. S/he conducts outreach and provides ongoing support and information to ensure that there are positive, trusted relationships and transparent communication with our nearby neighbors and the broader community. The Assistant Director will:
- Proactively seek out external opportunities for UCSF staff to interact with the community in positively and meaningfully ways.
- Ensure that timely, accurate and important information reaches the community and plans, organizes, and executes consistent and informative presentations, events, meetings, tours, and one-on-one conversations with neighbors, community merchants, neighborhood organizations, and other groups.
- Regularly attend community meetings to provide updates and hear feedback.
- Convey the university's tripartite mission of advancing health, research, and education, as well as important university announcements and events with the goal of fostering community engagement in activities that are critical to the university's mission.
- Identify, addresses, and mitigate unforeseen or rapidly unfolding events that may impact relationships between the campus and various constituencies.
Internal Coordination Work (30%): The Assistant Director must be knowledgeable about UCSF plans and activities, and therefore consults with and works with other UCSF departments such as Campus Planning, UCSF Health, Capital Programs, Communications, Campus Life Services, Public Affairs, the Digital Team, Campus Counsel, and others. She or he will:
- Ensure the community experience is incorporated into UCSF's decisions and internal partners have a good understanding of community's needs, desires, and concerns.
- Bring awareness of community issues to internal planning and decision making to proactively address external issues that may impact UCSF.
- Staff and support internal subject matter experts. Ensure that they are briefed with the proper information, so they can engage the public, answer their questions, and address concerns.
- May mentor less experienced staff members.
Citywide Work (25%): The CGR team manages the San Francisco-based UCSF Community Advisory Group (CAG). All staff on the Community Relations team are responsible for maintaining transparent communication with CAG members through regularly scheduled CAG planning meetings, quarterly meetings, one-on-one correspondence, and other activities.
In 2021, UCSF and the City and County of San Francisco reached an agreement on a Memorandum of Understanding (MOU) outlining a set of community benefits. The CGR team helps coordinate and execute the commitments outlined in the 2021 MOU and gathers accurate and timely information for the annual MOU report. To that end, the Assistant Director is responsible for the following tasks and activities:
- Participate in quarterly alignment meetings of the MOU working group to ensure all UCSF departments are on track to submit information for the annual reports.
- Coordinate with UCSF communications department to ensure they have the information required to produce MOU annual reports.
General Job Duties (10%): As part of the CGR team and as an employee of UCSF, the Assistant Director will perform other professional duties as assigned, such as attending team and organization-wide meetings, supporting various projects, attending trainings, and more.
Key Job Functions: Within each responsibility area described above, the Assistant Director (AD) will coordinate with internal colleagues and provide stewardship to external partners and perform the following job functions:
- Strategic planning: Works with CGR team members to develop a set of short, medium, and long-term strategic objectives, as well as plans to achieve them.
- Project management: Establishes a set of steps, and manages projects to completion, despite competing priorities.
- Responding to Community Concerns: Responsible for responding to and resolving complaints from UCSF neighbors/community as the primary point of contact for neighbors and the community seeking assistance from UCSF and UCSF Health.
- Event planning: Organizes, plans, and manages the details for events of all sizes, including food, speakers, location, and messaging that will attract attendees.
- Relationship Building: Meets and gets to know multiple constituents, including community leaders, neighbors and neighborhood associations, UCSF staff, contractors, elected officials, and more.
- Problem Solving: Addresses small day-to-day, as well as large-scale problems, recommends clear, mutually beneficial solutions, establishes clear roles and responsibilities, and communicates these solutions to internal and external partners, with the goal of reaching consensus or clearly communicating decisions and next steps.
- Meeting Facilitation, Follow Up: Plans and creates a schedule for community meetings where UCSF can build relationships, share information about upcoming activities, and provide a venue to hear and address concerns. The Assistant Director will manage meeting notes and follow up, including sharing and archiving the notes and ensuring that action items are completed.
- Communications: Implements regular communication which allows for timely exchange of information between UCSF and the community. Manages mailing lists, emails, public notifications, and more to ensure the broadest participation. Produces oral and written communications, including social media posts, letters, power point presentations, meeting notes, summaries, and report-outs, strategic plans and proposals.
