Description of Responsibilities
The Membership & Engagement Director is responsible for both the day-to-day and strategic membership activities required to achieve the organization’s goals related to engagement, onboarding, recruitment, and retention. The Director will be expected to deeply understand the member journey and experience and develop and execute a plan to foster and increase member engagement at all levels of the organization.
Provide leadership in developing, implementing, and evaluating effective membership recruitment, retention, and engagement strategies.
Develop and execute a data-driven recruitment, retention, and engagement strategy and implementation plan which supports TSAE’s branding and achieves organization’s membership goals.
In cooperation with Marketing & Communications Director, develop and implement comprehensive membership marketing and communications strategies and campaigns to attract, recruit, engage and retain members. This may include the development of email campaigns, online content, marketing materials and brochures/guides.
Develop strategic, targeted campaigns based on statewide research data to continually improve the membership experience to retain current members.
Coordinate, evaluate, and refine all components of renewal, acquisition, and welcome campaigns and procedures.
Participate in and manage ongoing member stewardship activities with current and prospective members though all communications channels including TSAE social media pages and Online Member Community.
Coordinate representation and attend association/industry events to promote membership and facilitate engagement.
Provide exemplary customer service to assure high levels of member and stakeholder satisfaction and maintain consistency of service.
Remain fully knowledgeable of all TSAE’s programs, membership benefits, and dues structure to answer inquiries and to assist with general inquiries and promote membership to nonmembers.
Integrate member/prospect opinions, beliefs, and experiences into organization programming and activities.
Serve as the voice of the member internally and externally and communicate member needs across the organization, particularly with a member satisfaction, growth and retention lens.
Assist with the development and implementation of virtual and in-person programming related to membership topics and activities.
Evaluate, develop, and oversee the onboarding process of new members including application processing, welcome emails/cards/calls and orientations.
Proactively develop and engage in projects and events aimed at increasing membership and improving overall member satisfaction and retention.
Collaborate with staff to guide the development, launch and communication of a member survey to evaluate member needs and improve value of membership.
Serve as staff liaison to specified TSAE task forces, including the Membership Engagement Task Force other strategic initiatives as assigned.
In conjunction with Executive Director, coordinate efforts related to the Awards Selection Task Force including preparation, nominations and presentations.
Coordinate and execute the Newbie Ambassador program at New Ideas Annual Conference, including Ambassador selection, Newbie Orientation program content, promotion and reception.
Plan, execute and attend member networking receptions and events throughout the state to encourage member engagement and recruitment.
Ensure accuracy and integrity of membership data, tracking, and reporting.
Serve as the owner of our membership database system, its functionality, and integrity.
Collaborate with colleagues in administration and integration of association management system (AMS) iMIS to optimize user experience and ensure accuracy of data and reporting.
Lead the prioritization of enhancements to the iMIS and iMIS integrations to streamline core iMIS processes.
Oversee the member application, renewal, and dues billing/invoicing process of membership dues.
Develop, monitor and report on metrics for assessing effectiveness of membership recruitment, engagement, and retention programs and activities.
Track monthly retention statistics and implement outreach strategies to improve overall retention.
Assist with data extraction and accuracy for the printed annual TSAE Membership Directory.
Prepare, manage and operate the annual Membership budget to ensure the accuracy, integrity, and availability of financial resources needed for membership related operations.
Provide ongoing forecasting and analysis to meet our goals and to understand and predict our outcomes.
Regularly review the budget and expenditures to ensure the department is meeting its financial objectives and to ensure proper resolution of variances.
Maintain financial controls for budget items assigned to area of responsibility.
Serve as senior-level thought leader, mentor and bridge builder for TSAE.
Develop a deep understanding of our membership structure, bylaws, policies, programs, and content to appropriately address members and provide input relative to TSAE’s strategic direction.
Work with internal teams to incorporate diversity, equity, and inclusion initiatives into the associations’ overall operations.
Attend board meetings, committee meetings, and other events as requested.
Maintain a positive work environment and highly motivated staff through effective leadership and empowerment of fellow employees.
Develop and maintain close contact with representatives of other association-related groups to monitor industry events and trends and to enhance TSAE visibility and growth within the industry.
Stay informed on industry trends, innovations, and best practices in membership strategies, sharing with the team and championing new strategies and tools where appropriate, based on those insights.
Implement and execute special projects and programs as assigned by the Executive Director.

Position Relationships:
Internal: Works closely with all staff to fulfill position responsibilities.
External: Maintains regular contact with the membership through email, mail, phone as well TSAE and industry meetings.
Background Requirements:
Education: High school diploma required; Two year associate's degree preferred from an accredited college or university preferable in Hospitality, Marketing, OR in lieu of a degree three (3) years association management experience.
Skill requirements: Effective oral and written communication skills; including public speaking; experience with computers and general office software; ability to work effectively with members and staff; ability to maintain confidentiality and have a service-oriented attitude. Must be able to manage multiple projects simultaneously; use critical thinking and implement problem-solving skills to effectively develop and organize projects. Must have an understanding market research, statistics, and knowledge of the industry. Individual must be able to lift boxes up to forty (40) pounds.
Relevant Experience: Previous association marketing experience and/or customer service is essential.
Travel: At short notice, successful candidate will also be available for evening and weekend work and may travel up to twenty (20) percent of the time.
This position is eligible to participate in the TSAE hybrid program after the first six (6) months of employment.
