The Clinical Placement Manager will work in collaboration with the Director of Learner Placement & Housing, Faculty Lead to execute the activities associated with OHSU 2025 Objective 2.1: Implement an integrated system to manage learner placements in all required settings. This will include strategic planning; new program development; and building strong institutional relationships, including fostering collaboration among academic programs and health care organizations that host OHSU learners. In partnership with OHSU Academic Programs, the Clinical Placement Manager will support efficient learner placement needs, coordination, and the tracking of all learners undergoing clinical rotations and internships.
This position includes close and transparent collaboration with program directors and clinical experience coordinators across OHSU's Academic Programs, as well as central service departments including: Contracts Department, Risk Management, Legal, and others as they emerge. This position provides management and oversight of a centralized learner placement system and is responsible for becoming the system expert as it relates to implementing, coordinating, reporting and troubleshooting a centralized learner placement workflow. This position is focused on the development, implementation, ongoing evaluation and improvement of operations in learner placement across all programs, which encompasses statewide contracts, compliance, preceptor engagement and administrative workflows of placing learners across programs and campuses. The clinical placement program is complex in nature, requiring coordination of multiple stakeholders' input, triaging, tracking, and reporting. Additional responsibilities include: establishing and maintaining relationships with clinical sites and preceptors, collaborating and troubleshooting placement concerns with coordinators, faculty and program leaders and working with programs to support programmatic growth by identifying placement sites in relation to active universal affiliation agreements and under-utilized housing. This position will assist in the development and foresight of building policies and procedures related to standardization, efficiency, and equitably placing learners throughout the academic year. The Clinical Placement Manager will be proactive in anticipating needs, assessing equitable distribution of placements, and making recommendations to the Director.
The Clinical Placement Manager must have a proven ability to work collaboratively and effectively with senior leaders, faculty, staff, and learners at OHSU, as well as external constituents. The Clinical Placement Manager must possess a clear understanding of the importance of diversity for an academic health center, the importance of an interprofessional system, and the ability to help lead the institution towards achieving its strategic goals for diversity, equity, and inclusion. As part of the qualification and requirement, appropriate Core Competencies are expected of all OHSU employees regardless of their position within the organization.
Function/Duties of Position
Operations Management and Oversight of Centralized Learner Placement System
Partner with programs and campuses to develop centralized clinical placement systems and processes.
Assist in implementing a placement management database that serves all programs, placements, and campuses.
Integrate and assess clinical placement across programs to ensure equity and level loading across the academic year .
Develop efficient operational policies and procedures.
Identify opportunities and act to support continuous improvement of administrative processes, such as: communication, scheduling, document management, evaluations, preceptor engagement, etc.
Collaborate with leadership, faculty, and staff to determine path forward.
Lead change initiatives and develop equitable program policies.
Help identify guiding principles to promote culture of curiosity and teaching.
Ensure high quality of operations and customer service within the Office of Learner Placement and Housing.
Supervise all logistics related to clinical site placements, contracts, and compliance tracking.
Provide leadership, mentoring, and development of Clinical Placement program staff for processes and procedures.
Help develop and define goals and purpose of clinical placements both at program and institutional level and develop mechanism to support successful attainment.
Document and maintain standard work, ensuring compliance with all policies.
Report Development and Evaluations
Prepare reports by collecting, analyzing, and summarizing data and trends for clinical rotations.
Evaluate current practices with an eye toward continuous improvement and adaptation to evolving programs. This includes researching problems, collecting data, providing options for solutions, and implementation.
Strategic Planning and Development
Assist in the activities associated with OHSU 2025 Objective 2.1: Implement an integrated system to manage learner placements in all required settings. This will include strategic planning; new program development; and building strong institutional relationships, including fostering collaboration among academic programs and health care organizations that host OHSU learners.
Represent the Office of Learner Placement & Housing at applicable meetings and on committees as necessary to ensure optimal use of the systems and functions facilitated by the office.
Other Duties as Assigned
BA/BS in related field or equivalent education and experience
5 years' experience working in project management or as a project lead. Experience must include 2 years of managerial experience.
Understanding of Academic Program scheduling, course registration, rotation scheduling and/or other.
Working in academic institution or health care setting.
Credentialing systems and software
Clinical management databases.
FERPA and related federal regulations.
Developing Data Driven Reports.
Required Job Related Knowledge, Skills and Abilities (Competencies):
Excellent organizational skills, ability to work independently, be flexible, customer service-focused and have experience with various forms of technology. Experience working as a project manager with a high degree of collaboration.
Excellent attention to detail; successful demonstration of experience working in detail-oriented capacity with proven record of accuracy.
Must be able to work diplomatically in a team environment. Ability to prioritize, set attainable goals; be self-directed, identify support needs and apply independent judgement; work efficiently under pressure of multiple deadlines (able to track multiple tasks and projects through various stages of development and implementation).

Must have advanced skills/knowledge in the use of technology (MS Office - especially Outlook and Excel, Adobe Acrobat Pro, Teleconference applications, document management applications and file management architecture in a HIPAA-compliant environment, database entry and reporting functions, and printer/scanner/copier equipment).
