Department Overview
This position is part of the Human Resources: Clinical Education Services, which is dedicated to supporting new employee orientation, education, training, staff development, leadership development, competency assessment, and employee engagement across the OHSU health system. The Principal Trainer position supports the educational and staff development needs of OHSU Healthcare by providing training and support on the use of our Integrated Health Record, Epic. This includes building and maintaining the simulated training environment, project assignments and e-learning development. The Principal Trainer position supports the educational and staff development needs of OHSU Healthcare by providing training and support on the use of our Integrated Health Record (EpicCare). This requires a coordinated and collaborative approach with multiple departments, including our Information Technology Group (ITG), Clinical Informatics Department (CID), Patient Care Services Division (PCSD), Professional Services, Pharmacy and Laboratory, among others. In particular, the person in this position works closely with the EpicCare Medical Directors, Nurse Informaticists, Professional Practice Leaders and other Epic Trainers to ensure that staff use EpicCare to maximize the delivery of quality patient care.
Function/Duties of Position
Training and Education Delivery Responsible for achieving an in-depth understanding of Epic, OHSU policies and procedures, and approved OHSU workflows for multiple roles in order to facilitate instructor-led training for OHSU and our affiliates and partners.
- Teach clinical Epic training courses for new and experienced users of EpicCare in various roles at OHSU
- Effectively manage instructor-led training course by:
- Demonstrating high level classroom management skills
- Assessing the learner(s) needs and modifying teaching approach to accommodate different learning styles.
- Uses specialized knowledge regarding EpicCare end-user functionality and workflows for clinical staff working in the inpatient and ambulatory settings to answer learner questions.
- Administer end-user assessments and evaluates learner EHR competency; make recommendations for remediation as needed.
- Collaborate with Epic training manager, nurse educators and managers to develop a remediation plan for learners who are unable to demonstrate proficiency.
- Document training completion in Compass to facilitate user access to EpicCare.
- Evaluate effectiveness of training and documents progress of participants, communicating to respective managers as needed.
- Create EpicCare job aids for posting on the Epic @OHSU website.
- Conduct and participates in "train-the-trainer" sessions to ensure consistency across instructor-led classes.
- Credential new hire trainers credentialing
- Mentor new hire Sr. Trainers
Instructional Design Create engaging, compelling course content and learning events that meet instructional objectives, quality standards and industry benchmarks to enhance retention and transfer using various strategies (instructor-led training, e-learning and blended training).
- Develop and maintain Epic training curricula including lesson plans, proficiency assessments, practice exercises and training handouts
- Ensure that training materials meet instructional objectives and quality standards in accordance with OHSU policies and procedures
- Maintain end-user assessments and analyzes the results to continually improve training.
- Collaborate with other members of the Epic training team to ensure the overall consistency and effectiveness of training.
- Review, analyze and validate training materials and content with SME(s) for confirmation of content.
- Maintain specialized knowledge regarding EpicCare end-user functionality and workflows for clinical staff working in the inpatient and ambulatory settings.
- Conduct research, including working with Subject Matter Experts, to understand learners and context, and to identify target audience's training needs
- Review feedback from course surveys; include learner evaluations into the quality assurance and course maintenance processes.
- Collaborate with Nurse Informatics and the School of Medicine to incorporate upcoming changes that will impact new hires, or to assist in the retraining of existing personnel.
E-Learning Design, Development and Deployment Utilize e-learning development software to incorporate educational techniques into simple and complex e-learning courses for online delivery via Compass.
- Design and develop a quality learning modules applying best practices using various eLearning authoring applications for Epic and non-Epic related content.
- Utilize graphic design skills to produce engaging and professional eLearning deliverables.
- Engage learners by using strong technical writing skills and requiring learner interaction in eLearning modules.
- Design quizzes and meaningful course interactions to increase learning and retention.
- Assist with reviews and provide feedback on instructional design and content for department e-learning courses to other e-learning developers.
- Obtain feedback from customers, implement revisions and collaborates with departments to create and/or refine on-line content.
- Utilize effective communication skills to communicate frequently and effectively with various project collaborators.
- Work with the Compass team to ensure effective roll-outs of e-learning modules.
- Develop and implement process for collecting end user feedback on eLearning products to improve and enhance future design.
- Maintain and periodically review posted eLearning products to revise as needed.
EHR Training System Build, Maintenance, Analysis and Testing Builds and maintains Epic training environment and researches issues throughout the year for both OHSU and affiliate organizations (such as Mid-Columbia Medical Center).
- Design, develop and maintain the Epic training environment for OHSU and its affiliates
- Build training/security logins in order to test and teach in the training environment.
- Builds training patients for the training environments.
- Assist other departments with the build of patients and users for the training environment.
- Test the EpicCare training environment build and configuration when new functionality is added or the system is upgraded.
- Assist with in testing new workflows that result from the addition of new functionality or unit/department optimization.
- Perform workflow analysis through job shadowing of users to ensure integrity of training curriculum
- Test workflows outlined by the project teams to ensure appropriate Epic build and functionality is working as intended in the training environments
- Work with the Clinical Informatics Department, HAMD, ECAP teams to incorporate upcoming changes that will impact new hires, or to assist in the retraining of existing personnel.
- Collaborate with other team members and other departments to ensure the build of functionality and sample patients in the training environment.
- Troubleshoot issues that arise in the training environment to find solutions.
- Validate system build while comparing Epic production functionality and training environment.
Project Management Assumes training project management responsibilities for EpicCare projects or subprojects within a larger project as assigned
- Collaborate with project team to conduct training needs assessment.
- Design, produce and deliver training associated with the project.
- Develop and document project training plans
- Identify project deliverables, tasks, and milestones; ensures training project timelines are reasonable and communicates risk when reports to management when they are not met or at risk.
- Develop processes to address identified problems which include risk analysis, training timelines, and various methods of communication.
- Plan and facilitate meetings related to training content.
- Communicate discrepancies in build, content, and functionality with the project team to ensure consistency throughout the project.
- Collaborate with Epic Training Manager and the Administrative Coordinator to plan, scheduling, timing and frequency of classes
- Conduct progress meetings, focused on training and workflows, with project team.
- Conduct "train-the-trainer" sessions to provide colleagues training on new lesson plan and workflows affected by the project.
Required Qualifications
Education:
Master's degree in computer science, a related field, or a clinical field and four years work related experience in the information technology field or a combination of clinical or operational healthcare environments; OR
Bachelor's degree in computer science, a related field, or a clinical field and six years work related experience in the information technology field or a combination of clinical or operational healthcare environments; OR
Associate's degree in computer science, a related field, or a clinical field and seven years work related experience in the information technology field or a combination of clinical or operational healthcare environments; OR
Eight years work related experience in the information technology field or a combination of clinical or operational healthcare environments; OR
Equivalent combination of education and experience where one year of experience will be substituted for an Associate's degree and two years of experience will be substituted for a Bachelor's degree.
Experience:
5 years' experience providing training, course design and curriculum development including online courses, instructional design, technical writing, and understanding of theories, tools and methods of adult learning; OR
An equivalent combination of education and experience to meet the needs of the position; AND
Three years' experience technical writing, developing and deploying e-learning courses, and storyboarding;
One year experience building and/or maintaining an EHR training environment
Possesses strong presentation skills or public speaking experience to communicate information and ideas clearly verbally and in writing based on the needs of the audience;

Registrations, Certifications and/or Licenses:
- Certification and Principal trainer course completion for at least one Epic module
