The Program Assistant serves as part of the Donor Engagement program within the Philanthropy department. This position provides central administrative support for the program's leadership and teams. The Program Assistant is expected to take initiative, execute core responsibilities collaboratively, and work well within a complex organization. The incumbent must show flexibility, be customer-oriented, have a strong attention to detail, handle multiple tasks and changing priorities, and remain composed under pressure of deadlines. The Program Assistant must be able to effectively communicate the mission, values, and scope of the institution.
Responsibilities
- Works with Donor Engagement leaders and the department's Cultivation and Stewardship, Donor Communications, Fundraising Events, and Obliteride teams to perform administrative tasks essential to the departmental activities and operations
- Provides dedicated administrative support for the Assistant Vice President, Donor Engagement, including:
- Preparing for and participating in meetings
- Proactively developing meeting materials such as agendas, handouts, and PowerPoint presentations
- Producing/providing follow-up materials as requested
- Managing calendar
- Supports Donor Engagement's departmental activities and operations by:
- Submitting and tracking purchase orders, requisitions, and invoices; collaborating with Accounts Payable and troubleshooting as needed
- Reconciling monthly ProCard expenses for cardholders
- Maintaining philanthropy inbox; monitoring and responding to, or coordinating responses to, incoming emails
- Managing the team's SharePoint page
- Maintaining organization of team's central storage areas; ordering supplies
- Coordinating and managing team volunteers for in-house projects
- Entering actions in Raiser's Edge NXT when needed
- Providing day-of-event support
- Protecting sensitive and confidential information
- Performs specific tasks related to the Cultivation and Stewardship team including:
- Creating event collateral when needed
- Preparing materials for and collating customized guest information packets
- Shipping materials for travel events
- Coordinating travel for scientist speakers and Donor Engagement staff for out-of-town events; maintaining detailed travel schedules for multiple event stakeholders
- Other duties as assigned
Qualifications
Minimum qualifications:
- Bachelor's degree or equivalent experience
- Minimum two years of experience in non-profit development or a related field
- Ability to communicate clearly and concisely, both orally and in writing
- Ability to build relationships and work in a team environment
- Ability to handle and respect confidential and sensitive information
- Comfort working within a complex organization
- Strong attention to high level of detail and quality of work
- Exceptional customer service and project management skills
- Highly developed organization and information management skills
- Ability to work under the direction of others and perform special projects as assigned
- Ability to set priorities, meet deadlines and manage multiple projects in a fast-paced, changing environment
- Ability to understand and carry out oral and written instructions and request clarification when needed
- Proficiency in Microsoft Office Suite
- Ability to work some weekends and evenings
Preferred qualifications:
- Experience with The Raiser's Edge/RENXT or related fundraising software
- Experience with Luminate Online and Tableau
- Experience using project management tools including Asana or Smartsheet
- Knowledge of Canva, Adobe InDesign, Illustrator, or other design tool
