The Division of Cardiovascular Medicine is a dynamic and innovative center dedicated to excellence in research, medical education, and clinical care. Our division is driven by over 80 faculty, clinician educators and instructors who are the pillar of strength in the Division's ongoing efforts for the prevention and treatment of cardiovascular disease.
The Division is building its research development support team. The Grants Specialist will manage the proposal preparation and/or post award activities for a large volume and diverse set of complex federal and non-federal sponsored research projects, involving multiple principal investigators, subawards, and/or cross-school initiatives. They will serve as a key resource for faculty, fellows, postdocs, and staff to assist with questions that arise during the pre-award grant or fellowship process. The candidate will be a key member of the Office of Strategic Research Development and serve as a bridge between this office and the division's finance team. This position will be based on the Stanford campus and is eligible for hybrid and/or remote opportunities (working on-site and working from home) subject to operational need.
Duties include:
Provide direction to faculty, fellows, postdocs and department administrators in the preparation of the administrative components of routine and complex proposals within parameters of sponsored and non-sponsored research guidelines.
Oversee and communicate the grant submission process; review documents for completeness and compliance.
Understand and interpret applicable federal regulations, sponsor requirements, and University policies.
Develop, prepare and finalize project budgets, and provide budget justification in collaboration with the Principal Investigator and Research Management Group.
Develop and communicate reports supporting project status; create effective forecasting and decision aides; advise on postaward spending and commitment activity for compliance.
Develop and submit progress reports in collaboration with the Principal Investigator.
Participate in contract closeout process; help PI with final reports.
Understand, apply, and advise on university and government policies for projects.
Serve as a resource for the entire grant life cycle (pre- and post-award) and overall technical resource to principal investigators and staff in the division.
Serve as liaison and active partner between principal investigators, Research Management Group, research groups, and other departments; respond to sponsor inquiries.
Participate in and contribute to process improvements. Lead other staff in group projects.
Mentor staff and provide cross-training as needed.

DESIRED QUALIFICATIONS:
Expert knowledge of research administration in a university setting, especially the pre-award process of complex proposal preparation, submission, policies and procedures.
Working knowledge of NIH and other federal agencies, foundation regulations and proposal requirements.
Experience with reference management software programs such as Zotero and/or EndNote, and program management programs such as Airtable and/or Smartsheet.
Highly goal oriented, self-motivated, and able to work independently as well as in coordination with various teams.
EDUCATION & EXPERIENCE (REQUIRED):
Bachelor's degree and three years of job related experience, or combination of education and relevant experience.
KNOWLEDGE, SKILLS AND ABILITIES (REQUIRED):
Basic knowledge of governmental regulations.
Ability to understand, interpret, and communicate policies and procedures.
Excellent oral, written, and communication skills.
Excellent analytical skills; demonstrated proficiency in Excel and web-based tools.
Strong accounting skills; knowledge of accounting principles.
Ability to complete Cardinal Curriculum I and II within first year in role.
Knowledge of procurement needs, including solesourcing, cost analyses, vendor requirements, and small business reporting.
Knowledge of property management requirements related to Stanford or non-Stanford title of equipment and fabrications.
Competency in project management.
Extreme attention to detail.
Ability to work well independently, but also to seek or offer assistance when needed.
Ability to review a proposal or manage a project with understanding of the overall scope and goal of each sponsored project.
Excellent time management and organizational skills.
CERTIFICATIONS & LICENSES:
Cardinal Curriculum I and II must be completed to remain in this position.
Certified Accountant or Auditor or similar credential desired.
PHYSICAL REQUIREMENTS:
Frequently sit, grasp lightly, use fine manipulation and perform desk-based computer tasks, lift, carry, push and pull objects weighing up to ten pounds.
Occasionally stand, walk, grasp forcefully, use a telephone, write by hand and sort and file paperwork or parts.
Rarely lift, carry, push and pull objects weighing 11-20 pounds.
