Ensure outstanding financial and administrative management for the Institute.
Tracks and manages the annual budget of The Pearson Institute, providing monthly reports to the Institute Director and collaborating with staff to ensure all costs are projected and accounted for.
With the Institute Director, prepares a projected budget for the upcoming fiscal year each spring and a final year-end budget each fall for the fiscal year just closed.
Leads in drafting an annual report for The Pearson Institute.
Serves as the primary liaison for the Institute to the human resources team in Harris Public Policy, ensuring that Pearson staff are complying with and leveraging the programs and policies for all staff, including regular performance reviews.
Manages Pearson Institute office space, including workstation and office assignments for ongoing and temporary employees, affiliated researchers, and students.
Ensures administrative excellence for the Institute.
Ensures adherence to policies and procedures for the Institute.
Tracks, manages and analyzes data that is relevant to the Institute.
Facilitates work flow among the Pearson faculty and staff to ensure timely completion of tasks.
Delegates tasks and projects to staff and interns to maximize efficiency and ensure growth opportunities.
Provide administrative leadership for academic initiatives of the Institute:
Administers the annual RFP process for the Pearson Institute Research and Innovation Fund.
Publishes the annual call for proposals, including identifying relevant departments and listservs on campus.
Organizes submissions and prepare for the Institute Director to review.
Facilitates award transfers.
Performs other related work as needed.
Manages stewardship and reporting process.
Ensures coordination with Harris to execute the annual slate of Pearson classes.
Serves as administrative lead for Global Conflict Studies Certificates.
Manages ongoing faculty submissions to and distribution of Pearson Discussion Paper Series.
Lead the Pearson Fellows and Scholars program, from recruitment through graduation and alumni relations
Supports the recruitment and selection process for Pearson Fellows and Scholars.
Collaborates with the Harris admissions team to ensure promotion of the Pearson Fellows and Scholars programs to all potential applicants.
Participates in select high-impact events with prospective or admitted students.
Evaluates Fellowship admissions and support Institute Director during the review and selection process.
Communicates with selected Pearson Fellows and Scholars.
Engages Fellows and Scholars in Institute programs, events and activities.
In collaboration with Pearson staff, identifies content for annual programmatic activities of Pearson Fellows and Scholars.
Tracks and manages financial aid and other funding associated with the Fellowship and Scholarship program.
Manages Fellow research assistant funding opportunity.
Manages Fellow internship funding opportunity.
Maintains relationships with and engages Pearson Fellow alumni as appropriate.
Serves as project manager of student podcast, overseeing monthly episode production process, sourcing speakers, advising and executing on content, operations, and marketing.
Serve as ambassador to internal and external partners
Maintains strong working relationships with colleagues at the Harris School of Public Policy and across the University of Chicago campus.
Manages relationships with stakeholders of The Pearson Institute across strategic initiatives.
Manages relationship with internship partners of the Pearson Institute, advising on partnership decisions and making recommendations.
Communications and Events
Drafts and circulates monthly Institute newsletters.
Tracks media mentions associated with the Institute and its affiliates, ensuring promotion of relevant media through Institute channels.
Manages the website of the Pearson Institute, drafting content, ensuring timely additions across content areas and ongoing copy editing, design, and other updates.
Identify content and speakers for ongoing event series of The Pearson Institute, working with staff team on outreach and content development.
Develops and administers program budgets and recommends or makes budgetary recommendations.
Serves as a key resource for program information. Resolves problems or questions referred by program staff, University administrators, or other contingencies.
Experience in nonprofit management, higher education, operations, policy or similar work.
Interest in and knowledge of The Pearson Instituteâ™s research and policy areas.
Familiarity with higher education environment and knowledge of the University of Chicagoâ™s unique culture is a plus.
Technical Skills or Knowledge:
Working knowledge and experience with Microsoft Office Suite, Salesforce, Hubspot or similar email marketing platforms.
Understanding of peace and conflict studies research areas as well as global policy and international development fields.
Multiple languages a plus.
Familiarity with higher education environment and knowledge of the University of Chicagoâ™s unique culture is a plus.
