Position Summary
The Learning Center's administrative assistant provides reception and administrative support to ensure smooth operations of the Learning Center's programs. The administrative assistant also provides support for planning events, coordinating test preparation programs, and assisting the staff as needed.
This position provides general office, document preparation and administrative support for an individual, department, office or designated staff group.
Job Description
This position is part-time and works approximately 15 -19 hours per week. This is a 9 month position with optional work hours over the summer.
Primary Duties and Responsibilities
Manage Front Desk Operations:
- Greet students, families, and campus partners with a professional and welcoming demeanor.
- Answer office emails and phone calls.
- Distribute and track inquiries from students, student employees, families, campus partners, etc. and make referrals as necessary.
Support Learning Center Program Operations:
- Assist with hiring of student employees.
- Process bi-weekly payroll as assigned.
- Assist the team with room reservations, scheduling programs and marketing.
- Assist with planning events that include room reservations,, catering, set up and break down, processing receipts, etc.
- Manage classroom and office supplies.
- Ensure that common spaces, equipment and storage areas are clean, organized, and well-equipped for effective functioning.
Provide Administrative Support for MCAT Prep Program:
- Coordinate schedules with the MCAT prep vendor.
- Make room reservations for class sections.
- Review student applications for eligibility.
- Coordinate with bookstore and AAMC to order books, test banks and supplies.
- Recruit, supervise and manage proctors and problem solving group leaders for test prep programs.
- Collect and manage student enrollment and attendance data.
- Manage relationship with test prep consultants, AAMC, student financial services, pre-health and pre-law groups, career services, residential life and academic units to market and execute academic programs.
Perform other duties as assigned.

- Bachelor's degree.
- Demonstrated ability to organize and execute multiple projects with rigid deadlines.
- Outstanding organizational, interpersonal, communication, time management, and problem-solving skills.
- Professionalism, initiative, self-direction, openness to change, flexibility, sound judgement, attention to detail, tolerance for ambiguity, and sense of humor.
- Ability to manage multiple projects and deadlines, prioritize tasks, function independently, and work as part of a team.
- Ability to manage frequent interruptions and high levels of activity in the surrounds.
- Tact and diplomacy.
- Ability to communicate effectively with a culturally diverse and broad range of stakeholders.
- Willingness to learn new software applications, such as project management and record management systems.
- Interest in college student development and community engagement.
- Ability to work periodic morning, evening, or weekend hours for special events and meetings.
Required Qualifications
High school diploma or equivalent high school certification and one year of experience in an office or administrative support position.

Salary Range
$16.64 - $24.95 / Hourly
The salary range reflects base salaries paid for positions in a given job grade across the University. Individual rates within the range will be determined by factors including one's qualifications and performance, equity with others in the department, market rates for positions within the same grade and department budget.
