Reporting to the Chief Operating Officer (COO), the Senior Planning & Program Manager provides strategic, organizational, and administrative support to the COO, ensuring consistent and seamless integration among the COO senior team in their support for the organization and clients.
The Senior Planning & Program Manager will support the COO in building and maintaining processes that enable the organization to achieve operational excellence, including service management, risk management, and financial sustainability. Will be responsible for facilitating various internal initiatives to enhance service operations across Administration & Finance, IT Service Management, and Client Services portfolio. The details of the role are below.
HUIT-wide COO-led initiatives:
- Develop a strong understanding of HUIT's business, including services provided and financial and staffing models
- Partner with COO in building and maintaining the Operational Excellence initiative and supporting processes for the organization
- Effectively manage the COO's priorities and engagements in partnership with Executive Assistant
- Represent the COO on working groups, committees, and in presentations to business partners and technology partners
COO service area operations:
- Provide support to COO in managing across service area portfolio, which includes the Administration & Finance, ITSM, and Client Services teams
- Provide ongoing support and leadership to high-priority initiatives of the COO senior team, including project management, communications and outreach, status reporting, documentation and execution
- Collaborate with COO service areas and HUIT Communications on shared projects such as common templates, style guides, digital properties, newsletters, release notes, and the internal and external service catalogs
- Lead and manage a multi-year staff development plan that balances financial constraints, departmental business objectives and the development needs of 200 employees
- Support annual processes of refreshing multi-year plans by business area, the application portfolio database, departmental goals and service area overviews
- Support the COO extended leadership team to manage and execute new projects as identified through the quarterly goal-planning process
COO service area culture and engagement:
- Facilitate smooth communication across the COO's service areas and HUIT as needed
- Lead and/or assist with department-wide communication and outreach activities as a key member of the leadership team, including retreats, town hall events, extended leadership team meetings, educational events and more
Core Duties:
- Collaborate to review project plans and proposals and develop project objectives; identify project responsibilities by determining the phases and elements of the project; calculate time frames and sequence the stages of the project
- Develop and manage project roadmaps for COO-led initiatives
- Execute, coordinate, and perform technical aspects of project; research issues
- Review, evaluate, approve and monitor cost schedule and technical scope baselines
- Prepare, provide and deliver project updates
- Contribute to communication plan and change management Absorb and leverage project related technology to ensure effective project management and collaboration

Basic Qualifications are the minimum threshold a candidate must meet in order to be considered for this role.
- Minimum of seven years' post-secondary education or relevant work experienc
The following Additional Qualifications are strongly preferred. If you meet some, but not all, you are still encouraged to apply; we value employees with a willingness to learn.
- 7 or more years of related experience, including hands-on management of projects that involved multiple stakeholders.
- Exemplary communications and writing skills, ideally with experience communicating complex technology concepts to non-technical stakeholders.
- Proven attention-to-detail and ability to balance multiple simultaneous projects.
- Strong analytical and listening skills.
- Comfort with collaboration, open communication, and reaching across functional borders.
- Proficiency learning key business processes, creating internal partnerships, fostering collaboration and recommending strategies that fit the culture.
- Demonstrated team leadership skills, service mindset approach, and the ability to act as a trusted advisor.
- Experience or coursework in organizational design, change management, and business process re-engineering highly desired.
- Direct experience as a project manager or agile facilitator highly valued.
