COVID-19 Considerations
RIMS Headquarters, located in Midtown Manhattan, is currently closed. All staff are fully remote and working from home. The Role
Reporting to the Director of Membership, the Member Services Specialist will provide RIMS clients with a dynamic and excellent experience through high-quality service delivery. Help to enhance client satisfaction and increase member and credential retention and recruitment. Support the implementation, enhancement, and maintenance of the RIMS certification and designation programs. Collaborate with staff and external vendors to develop and maintain membership, certification, and designation programs. Develop skills and advanced knowledge of RIMS services, products, certifications, and designation offerings to provide a personalized experience to every client.
About You
The Ideal Candidate will:
Possess experience using Microsoft 365 (Excel, PowerPoint) and Database Management Systems (CRM/ AMS/FMS)
Possess excellent phone and email etiquette with the ability to interact tactfully with all internal and external stakeholders.
Demonstrate ability to work with little supervision on given tasks and seek assistance in order to troubleshoot, and problem solve when necessary.
Responsibilities Include:
Member Services
Respond to membership emails and inbound calls of varying complexity with the goal of providing first-class resolution on issues and accurate information for general inquiries within one business day.
Maintain member and non-member records in Association Management Software (AMS) NetForum to ensure renewal notices are generated and reconciled correctly.
Report and track member database or processing errors and collaborate with IT staff to resolve issues
Review new member applications to ensure criteria have been met for approval
Process financial transactions related to member dues and product offerings
Demonstrate knowledge of all member types and adherence to RIMS membership bylaws
Communicate effectively with other departments within the organization regularly to provide service to clients regarding RIMS’ membership offerings and promotions
CRM Designation Administration
Provide day-to-day support to the designation programs awarded by Global Risk Management Institute, Inc (GRMI)
Respond to designation email and inbound calls of varying complexity with the goal of providing first-class resolution on issues and accurate information for general inquiries within one business day.
Document, maintain, and implement processes and procedures for CRM candidate registration, test administration, issuance, and ongoing maintenance
Process financial transactions related to GRMI designation product offerings
Manage all current and prospective candidate records across multiple database platforms
Process financial transactions related to the CRM exam registrations, designation reinstatement, and other miscellaneous CRM fees
Collaborate with exam administrator to set up virtual exams, cancellation of exams, and reschedule of exams
Develop and adjust existing CRM candidate reports within the AMS to integrate with file formatting and data parameters across other systems
Track and report on various metrics related to program efforts on a quarterly basis or as requested
Maintain a repository of college and university transcripts from CRM candidates
Review CRM submissions and enter the course and standardized exam grades into the AMS
Analyze and review vendor invoices and provide payment within 30 days of receipt
Prepare annual report listing CRM graduates for Canadian Chapters
Provide support as needed to maintain and update CRM and RF holder database
Issue CRM congratulatory electronic certificates (when requested) and digital badges
Maintain RF designation records in the AMS, including CEU credits earned, and workshops taken
RIMS-CRMP Certification Support
Provide day-to-day support to the certification programs awarded by Risk and Insurance Management Society, Inc. (RIMS)
Respond to designation email and inbound calls of varying complexity with the goal of providing first-class resolution on issues and accurate information for general inquiries within one business day.
Process financial transactions related to RIMS certification product offerings
Compile RIMS-CRMP certification exam reports from the vendor, enter candidate status into AMS, and send virtual congratulatory letters and certificates to new certification holders
Work with vendor to ensure RIMS-CRMP eligible candidates are given access to certification exams at Pearson VUE testing centers
Collaborate with external vendors and Director, Certification Programs on system integration, security standards, application processes, payment methodologies, database management, test delivery communication, and test deployment within the external vendor platforms (scheduling, data transmission, troubleshooting, monitoring progress)
Maintain RIMS-CRMP certification records in AMS, including recertification CEU credits earned and workshops taken
Administer RIMS-CRMP candidate's records and credentials in the portal
Review RIMS-CRMP applications to ensure criteria have been met for approval
Advise candidates and applicants regarding certification eligibility requirements, recertification, and completion
Generate monthly revenue reports for the RIMS-CRMP certification, work with third-party vendor to gather success rate,s and generate monthly revenue reports
Requirements
Experience:
A minimum of 2 years of experience working in a member/client services role in a corporate environment is required; association experience is desired.
A minimum of 2 years of experience using Microsoft 365 (Excel, PowerPoint), and Database Management Systems (CRM/ AMS/FMS) is desired.
Education:
Bachelor’s Degree in related field preferred.
