Job Summary
The Director of Operations (DOO) reports to the Vice President, Operations (VPO) and is responsible for day-to-day operating activities including program Operations in the Clubhouses and responsible for supporting Clubhouse Leadership for the whole organization. Supervises Clubhouse Directors and others as directed by VPO. Must be assertive yet collaborative, organized, friendly and maintain a high level of confidentiality and excellent communication with all administrative staff. Must be a strong planner and executor, be motivated, and have expertise in process improvement. Abide by and support the Club mission. Communicative and Supportive to Executive Leadership for the organization.
Responsibilities
Leadership
Implement and monitor the organization’s operations by directing and coordinating day-to-day activities consistent with established goals, objectives, policies and procedures.
Oversee the implementation and delivery of operations, programs, services and activities that facilitate achievement of Youth Development Outcomes;
Ensure that the Clubhouse Leadership are being supported and held accountable for meeting their enrollment goals.
Maintain vision and purpose, making complex decisions, problem solving, managing challenges and negotiating issues while keeping focus on the combination of equitable practice.
Energize and motivate others to reach their full potential and build effective teams;
Work with Clubhouse Directors to develop succession plans and leadership opportunities for employees in which they report directly to you.
Lead effective communication of operational and program plans and their execution by using proven project management practices, process efficiency strategies and integrating technology
Fiscal Accountability & Risk Management
Be the point of contact for CACFP food programming and reporting requirements for the organization.
Ensure that safety drills are conducted on a regular basis and are documented.
Collaborate with the Training Coordinator and Compliance Director and Clubhouse Directors, to ensure that all staff are properly trained in youth development strategies, risk management, crisis management, restorative practices, First Aid and CPR and trainings related to BGCA & youth development.
Ensure that accident and incident reports are completed in a timely manner and that all reports are properly documented, filed and followed-up as appropriate. Inform CEO and VPO of any and all incidents resulting in medical injury immediately. This includes Staff related injuries and participant injuries.
Participate in the safety committee and keep the CEO and VPO informed of risk management issues.
Program
Collaborate with the Quality Regulations and Evaluation Manager and the Training Coordinator and Compliance Director to ensure overall evaluation of programs in relation to strategic plans, annual goals and objectives & BGCA and grant requirements; as well as State Compliance is met.
Supervise the annual process of conducting a needs & interests survey after each season, impact assessments and data evaluation at all sites to ensure that an action plan is in place for growth.
Support the Training Coordinator and Compliance Director with the NYOI survey for youth participants, families, and staff annually.
Launch the Annual Youth of the Year initiative and Jr. Youth of the Year program to create an effective program that identifies a winner through the BGCWPA and goes on to compete statewide and nationally.
Be the liaison and the point person for Child Care Works Subsidies through the Early Learning Resource Center. Process monthly attendance, complete Market Rates annually and update by season. Utilize the Provider Self Service for the organization. Accept Child enrollment summaries, Adverse Actions, and payment histories. In addition, be the lead with the Department of Human Services Child Certification Office in partnership with the Quality regulations and Evaluations Manager.
Support the decision making in partnership with the VPO, CEO for policy and procedural updates annually for the organization.
Update all Emergency Management Plans for each location annually.
Ensure the Clubhouses are developing and implementing membership outreach & recruitment plans and communicating marketing needs to the Advancement Department.
Human Resource
Supervise and conduct annual performance evaluations for direct report staff and recommend merit increases;
Schedule and conduct regular Clubhouse leadership staff meetings;
Work to ensure that all HR policies & procedures are properly executed to manage all HR issues and keep the CEO and VPO informed of personnel issues.
Recruit and interview candidates for Clubhouse Leadership roles with vacancies occurring and create a plan to allow proper coverage at the Clubhouse until vacancy is filled. (This may mean that you are on site managing a Clubhouse for a period of time)
When Clubhouse Leadership needs support regarding Call offs and resignations be a support to the Clubhouse and offer solutions to ensure compliance remains met through DHS Chapter 3270 Regulations.
Community
Represent the organization in the community and positively and professionally promote Boys & Girls Clubs through conversations with partners.
Other Duties
Attend Boys & Girls Club conferences and workshops as directed;
Attend local training and workshops in field;
Attend management team meetings;
Accept other assignments as directed.
Must be able to travel from Clubhouse and program sites daily, if required.
Requirements
A Bachelor’s degree from an accredited college or university; MBA or similar Master’s preferred;
Prior experience leading a non profit organization preferred.
A minimum of 5 years work experience in project or operations management and supervision, or an equivalent combination of experience and education;
Understanding of general budgeting, expenses management and human resources;
Considerable knowledge of the mission, objectives, policies, programs and procedures of Boys & Girls Clubs, and of the basic principles and practices of non-profit organizations;
Demonstrated ability to organize, direct, inspire and coordinate operations in: personnel supervision; recruitment and retention of key personnel; and budget management;
Strong communication skills, both verbal and written;
Ability to manage multiple tasks and to develop solutions to problems with limited supervision;
Ability to establish and maintain effective working relationships with Club staff and organizational leadership.
Must have experience working in a licensed childcare facility; Child Care Works Subsidies and Keystone STARS Quality rating Improvement Systems. Management experience is a must. Preference for managing managers in past positions.
Advanced positive customer service skills needed.
Strong time management, organization, and project prioritization skills are a must
Keen sense of attention to detail.
Proficient in Google Suite.
The usual and customary methods of performing the jobs function require the following physical demands: lifting & carrying up to 50 pounds, pushing, any/or pulling, climbing to include steps, balancing, stooping, standing, sitting, kneeling, crawling, crouching, and signification fine fingered dexterity. Ability to tolerate environmental conditions: air conditioning, heat, dust fumes, noise, close quarters, etc.
Perform all additional duties and tasks assigned by leadership/supervisors.
Certifications and Clearances
CPR, Pediatric First Aid, Child Abuse, Criminal History, FBI clearance, NSOR certificate, PA Disclosure and Mandated Reporter certification required upon hire or newer then 6 months. PA Staff Health Assessment and TB Test must be submitted upon hire and before start date.
