POSITION SUMMARY
The Business Network for Offshore Wind (the Network) is hiring for a Vice President for Event Planning IPF to oversee the Network’s International Offshore Wind Partnering Forum’s growth, evolution, and scaling of its strategic objectives. This Vice President role will be responsible for effectively and efficiently managing critical resources of the Network including: strategic planning; human capital; revenue design and generation; funding and budgets; internal and external relationships; evaluation, and learning; and leadership, management, and staff performance. The successful candidate must have a proven track record of managing large scale events with attendance over 3,000 and multiple tracks occurring daily
POSITION FUNCTIONS AND RESPONSIBILITIES
Event Planning
Attention to detail, critical thinking, and concise communication is critical to the success of this role
Lead and manage the design, development, implementation, evaluation, and growth of the IPF and its multiple events ranging in size from 10 - 5,000+ attendees with budgets up to $3,000,000
Lead and manage event staff, consultants, and contractors so that the Network maintains and advances excellent standards of event planning, production, and operations regardless of location
Manage all aspects of event planning meeting strict deadlines and budget demands
Nurture and build relationships with vendors, venues, and other industry contacts to craft and implement creative and logistical aspects of all events
Stay ahead of the curve on event planning, design, and production trends, proactively identifying and solving operational challenges
Coordinate with internal staff, clients, vendors, and others to establish needs for events, and serve as liaison to senior level executives, government officials, and industry leaders throughout the planning process
Research resources, make site visits, and lead pre-event meetings when necessary to help staff make decisions about event design
Execute and manage all contracts including, but not limited to; housing, convention center, AV, show decorator, registration, and other IT platforms
Plan and facilitate logistics for all events including, guest lists, venue preparation, presentation materials, security, F&B/catering, entertainment, transportation, AV, equipment, decor, and marketing materials
Oversee client experiences from conception through post-event, managing on-site preparations, production, and event breakdown, ensuring consistent, high-level service throughout all phases
Maintain and build a comprehensive database of industry contacts, vendors, and venues
Troubleshoot and handle any issues that arise during events
Establish standard procedures and train staff to execute them
Comply with legal, insurance, health, and safety regulations always
Revenue Generation & Financial Management
Develop an operating budget for the IPF and associated side events
Design and achieve revenue and profitability targets for the Network by working with the SVP Business Development and Membership to design, develop, and implement sales/acquisition and sponsorship, and exhibition and attendee strategy for events and related activities
Identify and design viable opportunities to grow and evolve the IPF to increase attendance 20 percent per year
Ability to work with development and marketing teams and departments to deliver physical and digital assets in support of digital engagement, such as interactive demos, trials/evaluations, and user forums/communities
Member Services
Work closely with the Senior Vice President of Policy & Programs to cultivate a deep understanding for programmatic content to meet member needs
Provide exclusive activities, marketing strategies and promotions at the IPF for members to feel valued and special
Leadership & Management
Communicate needs and priorities to internal and external partners; work with the relevant stakeholders to identify requirements, risks, and success criteria; clearly convey program and project goals, performance, and success metrics across multiple audiences and goals
Provide strategic guidance to internal stakeholders in alignment with the Network’s mission
Help design, align, prioritize, and operationalize organizational tactics, goals
Help staff incorporate organizational ecosystem-wide infrastructure (business systems, management, leadership, culture) elements and opportunities in planning, implementation, evaluation, and learning
Manage and escalate employee relations challenges; monitor and track employee performance; provide regular, helpful, and actionable feedback to direct reports

EDUCATION AND EXPERIENCE
Certified Meeting Professional (CMP) designation preferred but not required. CMP designation must be attained with first two (2) years of employment
Proficiency working with an electronic sourcing tool a plus (Cvent, Salesforce, other)
IT competency – must be proficient with Teams, Asana, Excel, and other IT Platforms
At least 10 years of professional experience with steadily increasing job responsibilities including managing a team
Proven track record of managing large scale events, with attendance over 2,000 and multiple tracks occurring daily
Advanced negotiation and contracting skills - ability to understand and interpret financial data
Registration and event platform experience and knowledge preferred
Eagerness to learn and grow and a willingness to experiment to learn
Ability to navigate volatility, uncertainty, complexity, and ambiguity
Experience developing and managing project and communication plans with clear milestones, cross-departmental leads, and deadlines
Ability to work independently and as part of a team as well as manage staff and delegate, monitor, and evaluate team and individual work activities and performance effectively
Ability to navigate a fast-paced environment and balance responding to immediate opportunities while maintaining a strategic, long-term perspective with effective project management
Ability to collaborate effectively with senior and executive leaders across international, national, and local levels
