Technical Operations & Event ManagerAbout the OpportunitySummary:Reporting to the Senior Associate Director of Operations for Event Management, this Manager will be Event Management's primarily liaison for managing events in the East Village 17th Floor Conference Room as well as assisting with events in the Interdisciplinary Science and Engineering Center (ISEC), Curry Student Center, Blackman Auditorium, Fenway Center and Afterhours. This includes assisting with matters involving scheduling/reservations, event planning/advising, ticketing preparation and logistics and technical, audio, and visual needs. The manager will perform a variety of front of house and professional support services related to the East Village 17th Floor Conference Room including event planning and production, elevator operations, staff scheduling and trainings, and maintenance. This manager will also assist the technology manager in the East Village and ISEC for events as appropriate. The manager will also be called upon to assist as needed with other major events scheduled in the ISEC complex (atrium and auditorium), the Curry Student Center (the ballroom, west addition, indoor quad, McLeod suites, general meeting rooms), Blackman Auditorium, the Fenway Center and Afterhours nightclub. This position requires flexibility with hours/days, as the schedule is event driven. However, standard hours for this position are Monday through Friday 9am-5pm
Responsibilities:Event Management
- Manage all the day-to-day front of house and customer service needs the East Village 17th Floor Conference Room.
- Review scheduled use of event spaces from a daily/weekly/monthly perspective and organize details for all events in East Village.
- Meet with clients regarding event planning. Arrange walk-throughs with new clients so they can see the space. Assist the President's office with providing access to presidential room on the 17th floor as needed.
- Collect and assess event details from clients. Plan the coordination of room setups with facilities, operating hours & access for all parties, as well as security for events.
- Be present at all high profile events.
- Coordinate access to the venue for clients, catering & outside vendors, both for load-ins and load-outs.
- Work with the Technical Manager of the space to see that all tech details are collected from clients and that events are staffed appropriately.
- Manage the incoming requests for use of the space and maintain the events calendar for the venue.
- Enforce policies and procedures related to use of university facilities.
- Work with facility services and audio visual services to coordinate and implement events.
Operations:
- Coordinate maintenance of venues, including access (key access, swipe access, & elevator access), kitchen, and bathroom issues if needed.
- Coordinate cleaning of the venue as needed (kitchen, bathrooms, floors & rugs, presidential office).
- Oversee facility inventory, security, and upkeep. Purchase and maintain equipment, supplies and services for the venue.
- Direct event staff during events, including facility services, catering, and public safety for efficient delivery of service.
- Track renovation and work order requests, report and monitor repair of building equipment.
Staffing:
- Assist with recruiting, hiring, training, and development of student supervisors, work study students, and non-student part-time staff in areas of A/V, event production, and security.
- Set performance expectations related to interactions with clients and participants, technical services, event assistants, etc. Provide performance feedback and staffing up-training as needed.
- Communicate regularly with staff regarding event information about available shifts, staffing reminders and operational updates.
- Assist with maintaining the student staff schedules.
- Assess technical/service needs of clients for events as needed, lighting boards, sound needs, and advise both clients and the director of capabilities within the space, need to outsource equipment, etc.
- Assist the Director with the rental and use of audio visual and lighting equipment based upon available inventory.
- Ensure thorough and complete oversight of technical productions and customer support services in the execution of programs.
- Prepare for audio/visual/technical needs to be met and functional for scheduled events. Be onsite to manage and trouble shoot audio/visual/technical issues as they arise.
Technical/Audio/Visual:
- Provide support for audio/visual, technical and lighting services at events and assist the Technical Event Manager with setups for events as needed.
- Assess technical/service needs of clients for events as needed, and advise both clients and the director of capabilities within the space including the need to outsource equipment, etc.
- Assist the Director with the rental and use of A/V equipment based upon needs and available inventory.
- Prepare for audio/visual/technical needs to be met and functional for scheduled events. Be available to manage and trouble shoot audio/visual/technical issues as they arise.
Qualifications:This position seeks candidates with a bachelor's degree in a related field, plus at least 2-4 years' experience in event management and event production (both small and large events). Customer service focus and friendly, good interpersonal skills are a must, as are supervisory skills and the ability to train, schedule, lead and manage students. The ability to work in high profile and high-stress situations is needed. Experience with facility management and event venue protocols (fire codes, evacuation procedures, ADA, etc) is a preferred. Knowledge of lighting and sound systems sufficient to supervise technical services and/or contract outside professionals is preferred. Experience with EMS or similar event software, video conferencing programs and applications, ETC lighting consoles, Yamaha digital soundboards a plus. Typing and word processing necessary, and basic multi-media production integrating Mac and PC is needed. On occasion this candidate may be required to lift objects up to 30 pounds. Ability to be flexible with schedule which will include weekend hours and some holidays.
