Administrative Assistant – Office of Research and Innovation

The Administrative Assistant will provide high-level support to the Office of Research and Innovation (ORI) by coordinating the services, functions, and processes of the office. This is a highly skilled and diversified position which entails administrative, logistics, database maintenance, web design, and social media management skills. The Administrative Assistant work independently to prioritize among the needs of multiple projects, as well as exercise considerable initiative.

DUTIES AND RESPONSIBILITIES:
Provides overall office management for Office of Research and Innovation to ensure efficient provision of services; general office duties; clerical and secretarial support to the Associate Provost for Regulatory Affairs and Applied Innovation. Performs basic functions such as answering the telephone, monitoring incoming emails, ordering office supplies, generating official letters, performing website updates, and overall administrative support of the Office of Research and Innovation and its staff.
Organizes and maintains various compliance and intellectual property related databases; research grants files; agreement documents; and all other Office of Research and Innovation documentation. Provides administrative support for the management of patent and technology transfer data.
Schedules meetings and conference calls for Office of Research and Innovation staff; coordinates and assists with scheduling, programming, implementation, and communication of Office of Research and Innovation events, presentations, visits, conferences, and activities.
Develops, implements, and maintains content for the Office of Research and Innovation website and social media channels including development, accessibility, content updates, page design and graphics.
Takes initiative to propose digital assets to support content strategy and collaborates with the Office of Marketing and Communications and the Director of Marketing to establish consistent web presence and adherence to compliance requirements across web platforms. Maintains an editorial calendar for feature articles, social media posts, and planned web content.
Helps coordinate and manage Office of Research and Innovation budgeting and purchasing.
Performs other related duties as assigned.
Associate’s degree in business, administration, paralegal studies, marketing, or related field from an accredited institution.
3 – 5 years of progressively responsible office and/or marketing experience.
Bachelor’s degree in business, administration, paralegal studies, marketing, or related field from an accredited institution.
Prior work experience in an academic environment.
