The Undergraduate Studies Division is currently one of the six divisions in the College of Letters and Science. The primary charge of the division is the academic well-being of the more than 21,000 undergraduates in the College, 73% of Berkeley's undergraduates. Undergraduate Studies is organized into three primary areas that serve undergraduates in the College of Letters and Science and across campus: Academic Engagement, Undergraduate Advising, and Undergraduate and Interdisciplinary Studies Teaching Programs (UGIS). UGIS is a center for innovation in undergraduate education that extends beyond traditional departmental boundaries. The UGIS degree programs bring together 30 lecturers and faculty from across campus as well as 70 academic student employees to teach in the department's degree programs. Together, these degree programs attract undergraduates who wish to explore intellectually engaging and promising interdisciplinary areas of study. The 3 UGIS majors include American Studies, Interdisciplinary Field Studies, and Media Studies which number more than 700 declared majors in total. Media Studies is the 11th largest major on campus to award bachelor degrees in 20-21 overall, and the 5th largest to award bachelor degrees to transfer students. The 5 UGIS minors include American Studies, Applied Language Studies, Creative Writing, Disability Studies, and Politics, Philosophy, and Law. In 20-21, UGIS awarded minors to 160 students.
Administrative Oversight & Staff Management: Manages, plans and administers administrative operations of a multi-program interdisciplinary department within the College of Letters and Science, Division of Undergraduate Studies. Administrative services include IT, web site development, facilities, student services, budgetary financial management, contracts and grants, academic human resources, curricular and programmatic development, and advisory support for faculty program leadership. Prepares short and long range vision, planning, improvements to processes and leadership support for the programs and faculty directors. Establishes and recommends change to policies which affect the assigned unit(s). Supervises a team of 6 FTE which includes student academic advisors, HR specialist, and administrative assistant. Responsible for hiring decisions, training, performance ratings, merit increases, promotional opportunities, reclassification requests, written warnings, disciplinary actions, and/or resolution of grievances or complaints. Coaches and works with staff in Achieve Together and union performance evaluation parameters with goal setting, breaking down performance barriers, etc.
Human Resources: Manages all staff and academic human resources for the department. Advises the program directors and relevant faculty committees in all academic personnel matters. Interprets complex academic personnel policies, procedures, and practices from a variety of sources (labor contracts, Office of Faculty Equity and Welfare); determines the relevancy of appropriate policies, applies them effectively. Facilitates and is responsible for the preparation and timely submission of non-Senate personnel cases (appointments, merits, excellence reviews) and searches/recruitments on AP Recruit. Counsels non-Senate faculty on moderate to complex work issues such as medical leaves and summer compensation limits. Submits hires/separations, merits/promotions, and other approved actions to SHARE regional services for entry into UCPath. Investigates discrepancies in salary history, missing payroll, benefits, etc.
Financial Management: Develops and prepares budgets and financial reports for temporary academic salaries (TAS), grants, general appropriations, endowments and other funds. The position has overall responsibility for all fiscal matters in the unit, and manages the annual budget and temporary academic staffing in consultation with the program directors. Authorizes expenditures and manages all operational, instructional, and research budgets. These include temporary academic salaries, permanent and temporary staff salaries, general assistance, supplies and expense allocations, and grants. Provides input into non-technical portions of grant and contract proposals, as needed.
Curriculum & Enrollment Management: Plan and coordinate curricular offerings across 3 majors and 5 minors in conjunction with faculty leadership; Oversees and facilitates a coordinated approach to scheduling and enrollment management across the programs; Supports the submission of new and modified courses to COCI; Works with related departments on cross-listing. Oversees the management of course evaluations. Coordinates outreach and recruitment to the major and minor by working with other units in the College, the Office of Undergraduate Admissions, the Center for Educational Partnerships, and CE3.
Space & Facilities Management: Administers facilities and space logistics and manages equipment needs. Plans and coordinates the use of space and facilities, including administrative and faculty offices.
Broad knowledge of (or can quickly learn) the organization's processes, protocols and procedures with a focus on budget, account and fund management and / or personnel management under labor contract(s) and personnel policy.
Strong verbal and written communication skills; ability to influence / persuade all levels of staff and faculty.
Skills in organization and customer service to effectively manage multiple important priorities. Proven ability to organize department work functions in an efficient and effective manner and participate as a team player.
Familiarity with or ability to learn campus systems (CalPlanning, Cal Answers, BFS, UCPath, Campus Solutions, etc.)
Proven skills to quickly evaluate complex issues and identify multiple options for resolution.
Excellent skills to work collaboratively and act persuasively in sensitive situations; skills to effectively lead and motivate others; skills in conflict management techniques.
Experience supervising staff, preferably within a complex organization that includes a diverse range of services (HR, student services, administrative support). Experience working with faculty.
Strong interpersonal skills, equity-oriented mindset and desire to work with diverse populations.
Bachelor's degree in related area and / or equivalent experience / training.
Familiarity with staff and academic personnel policy and procedures.
Familiarity with student services.
Advanced knowledge of or ability to quickly learn UC policies, procedures, and practices.
Experience in short and long term financial planning.
Experience managing a TAS budget to meet multiple and competing needs.
Knowledge of strategy development and implementation, data gathering and analysis approaches, and communication strategies. Background in strategic planning, assessment and project management.
Advanced degree in a related field and/or equivalent experience/training.
Salary & Benefits
Annual salary will be commensurate with experience up to $140,000.
