Provide general administrative project and/or program support for department or program areas.
Primary Duties & Responsibilities
The Graduate Programs and Communications Coordinator maintains graduate student records and provides advice to students through both email and in-person meetings on procedures, course registration, and degree requirements.
Reviews records to ensure students are following procedures and meeting program milestones, as well as informs students about obligations and deadlines. Â
Coordinates with faculty when students fall behind, helping to define improvement plans and placing them on academic probation as needed. Â
Assists with promotion of student interests in situations of adviser issues or absences.
Responsible for maintaining and submitting appropriate paperwork for student milestones and graduation certification.
Works closely with the departmentâ™s director of doctoral study on the annual review of PhD student progress (PRODS), taking the initiative in organizing and planning for the annual review. Â
Works closely with the director of CSE masterâ™s programs, as well as Graduate Student Services and the School of Engineering registrar, attending various meetings and trainings. Â
Maintains CSE Slack channel and responds to graduate student inquiries in a timely manner. Â
Serves as administrative coordinator for the departmentâ™s graduate admissions efforts, working closely with faculty who serve in program director or graduate admissions roles.
Coordinates the application process for the departmentâ™s prospective graduate students through the schoolâ™s application platform, maintaining a dialogue with applicants as needed through the admissions process, and afterward with admitted students to inform them of registration procedures and department policies.
Works closely with the schoolâ™s director of graduate admissions. Â
Coordinates with the schoolâ™s communications staff in planning for print and electronic media; research or edit content as needed.
Works with the schoolâ™s communications staff to promote the department through specific vehicles including e-newsletters, brochures, flyers, other print materials, webpages, and digital signage.Â
The Coordinator maintains oversight of the departmentâ™s website to ensure content is kept up to date, is relevant, and consistent with the goals of the department and the school.
Works with the schoolâ™s communications office on website content as needed for department activities and programs and events, with the overall goal of increasing department visibility for attracting students and faculty, and providing information on faculty research, other news and activities.Â
The Coordinator will plan and execute department events in conjunction with Graduate Student Services for current, new and prospective graduate students, including orientations, recruitment events, information sessions, and visit days.
Coordinates virtual events using CVent, Zoom, and Gather. Work closely with faculty and students to coordinate several annual events, including spring Ph.D. visit day, and dissertation award ceremony.
Organizes the doctoral student seminar series each semester, and organizes social activities aimed at fostering student interactions.
Works closely with the departmentâ™s director of doctoral study and director of masterâ™s programs to develop orientation materials as well as attend and provide feedback on other orientation events including Graduate Student Services MS and PhD orientations. Â
Bachelor's degree and related experience in an academic/university environment.
Â Excellent interpersonal skills and ability to work with diverse groups, including students, faculty, and staff.

High school diploma or equivalent high school certification and two years of administrative office experience.
$17.83 - $27.64 / HourlyThe salary range reflects base salaries paid for positions in a given job grade across the University. Individual rates within the range will be determined by factors including one's qualifications and performance, equity with others in the department, market rates for positions within the same grade and department budget.
