As our Governance and Communities Administrator, you will serve in a key role, providing day-to-day support for ISHLT governance functions and membership communities, helping members organize, connect, feel valued and advance ISHLT’s mission. You will build relationships with members from around the world and support their efforts as volunteer leaders.

The Governance and Communities Administrator position is based in Chicago, with flexible remote work options.
DUTIES AND RESPONSIBILITIES
Governance, Nominations and Elections
Schedule and support Executive Committee and Board of Directors meetings
In conjunction with committee chairs and staff department directors, set up virtual committee and task force meetings and provide logistics support for meetings
Coordinate meeting agenda development and materials collection from board members, chairs, staff, and others
Send meeting calendar invitations, reminders, meeting agendas and materials
Take minutes and coordinate their finalization with appropriate volunteers and staff members
Administer volunteer management programs, including volunteer solicitation and deployment, and volunteer performance and evaluation processes
Provide administrative support to the Governance Committee and other committees responsible for electing volunteer leaders, including tabulating scores for nominations
Provide administrative support for elections, including the announcement and collection of candidate material and administering the voting technology
Interdisciplinary Network and Professional Community Management
Serve as the primary point of contact for component leadership
Provide oversight and direction for component leadership to ensure they are fulfilling obligations related to meetings, awards, content development, leadership development, online event planning and more
Organize leadership meetings and provide logistics support
Provide administrative support for leadership elections
Schedule and provide administrative support for webinars, town hall meetings, and other component events
Coordinate event promotion with Director of Marketing and Communications
Administer surveys, gather formal and informal feedback, and recommend options to improve the volunteer experience
Support the execution of membership and volunteer development programs
Participate in the development of strategies and tactics to support ISHLT goals
Manage master calendar of meetings and events for all communities and committees
Provide support for member and nonmember queries through email, phone and other avenues
Schedule and support internal staff team meetings
Other duties as assigned

Experience maintaining confidential information
Ability to travel 2-3 times per year
Bachelor's degree and 1 year experience working with an association or nonprofit organization.
Ability to respond to common inquiries. Ability to present information to management, and respond to coworkers, customers and management.
Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists.
To perform this job successfully, an individual should have demonstrated high technical proficiency with Microsoft Office (Word, Excel, Outlook, PowerPoint), Adobe Acrobat, general computing skills, and the Internet, as well as the ability to learn and become a skilled user of AMS systems and a variety of communications platforms. Experience with Higher Logic communities and Impexium a plus.
