We are searching for a Program Manager to join the Executive Education, Tepper School of Business team. This is an excellent opportunity if you thrive in an interesting and challenging work environment. You will contribute to the department by overseeing the high visibility program planning and delivery logistics for our non-degree executive education custom and open-enrollment programs. This position coordinates all operational aspects of assigned events, manages communications, program logistics, and is responsible for efficient, cost-effective program administration with the goal of providing extraordinary customer service in online, on-campus/in-person, and/or hybrid environments. Program Managers maintain a close working relationship with clients, both sponsoring executives and participants, through ongoing interactions both in person and via email and/or telephone. Responsibilities also include promotion and cross-selling of open-enrollment and/or custom programs within the Tepper Executive Education portfolio.
Core responsibilities will include:
Ensure effective delivery on all operational aspects of assigned executive education programs or other events in collaboration with clients, faculty/staff, computing and audio-visual departments, and internal and external publications departments;
Support business development activity through meetings with potential clients, representing Tepper Executive Education on conference calls, showcasing Executive Education capabilities, and contributing to proposals;
Manage pre and post program communications with participants, faculty and/or associated stakeholders. This includes, but is not limited to, preparation of welcome letters, logistics information, attendance verifications, Visa requests, setting-up classroom venues, technology assistance, and coordination of faculty, participant, and/or partner needs;
Program on-site assistance;
Online support for digital programming;
Post-program break-down and after-action review participation;
Manage the learning management system for programs, including ensuring all teaching materials and other logistic information is posted on a timely basis, both pre and post program;
Manage a budget for the program delivery that balances the goal of providing exceptional customer service within prescribed cost parameters. Budget items include program teaching materials, food, housing accommodations, classroom, AV, transportation, tours and special events. Works with internal team to negotiate with third-party vendors of these services and prepare partner invoices;
Participate in key activities (meals, recreation, and selected classes) to enhance communications, provide support and address issues as they arise. This may include weekend, evening, and early morning hours depending on the program;
Address, either directly or through other staff, customer requests as they arise;
Promote Executive Education events and services through cross-selling initiatives via telephone, through attendance at breaks, receptions, meals, and other special events;
Participate in the continual improvement of existing operational plans for program delivery and maintaining complete files on all programs, to insure smooth delivery of future program offerings and also updates schedule on a regular basis when changes are made;
Follow prescribed format and program delivery schedule and utilizes current and future technology tools to maximize automation and efficiency;
In partnership with a Program Director, support efforts to expand and further penetrate business with custom clients. This involves research into companies, industries and business issues;
Act as representative of Tepper Executive Education to the domestic and global business communities. This may include travel for special promotions, event marketing, and event management;
Work with Program Directors to refer faculty by expertise to executives and guests of the School throughout the year;
Manage evaluation process and tracks follow-up items; proposes solutions and/or improvements to faculty and management regarding long-term program needs;
Actively participate in program planning meetings as well as post-program debrief meetings for custom and open enrollment programs;
Serve as the primary or secondary contact for organizational partners - these partners may include CLO's, Directors of Learning and Development and business line executives Respond independently to questions from sponsors and participants;

Fundamental knowledge of invoicing and tracking spend against budget.

Minimum three years of experience required; experience with program and/or conference coordination in higher education or industry is highly desired
Demonstrated proficiency with Microsoft Office Suite (Word, Excel, PowerPoint)
Experience with Canvas LMS, Qualtrics, Adobe, Salesforce, and HTML preferred
Experience with Oracle financials and Workday preferred
Flexibility for evening/weekend hours and ability to travel required
