The RISD Museum seeks a Museum Database Manager to administer and continually monitor the use, information needs, data integrity, and processes of the Museum's databases of record for Engagement and Finance. The successful candidate applies technical expertise and precise attention to detail to ensure data integrity processes. Under the supervision of the Business & Financial Manager, trains, advises, and supports museum staff to ensure end-user success across departments such as Development, Visitor Services, and Education, and recommends new training, equipment, or software in support of objectives.
The Museum Database Manager acts as the project facilitator for and collaborates with Museum staff, Information Technology Services, other RISD departments, and external vendors to ensure the Museum's databases of record and reports support operational needs and measure Museum programs and initiatives.

Administer and monitor the integrity of the Museum's databases of record and Financial System, currently Altru and Workday. Audit and perform quality control of decentralized functions. Perform regular centralized system updates, including but not limited to NCOA AddressFinder updates, de-duping of records, records upload, complex data requests, etc. Set user rights and security as appropriate. Make changes and updates as pricing and other information changes.
Examine existing operational practices and procedures. Recommend and document process improvements and protocols to increase efficiency, continuity, and effectiveness. Develop business requirements for new systems and match with available products.
As system expert, train end-users on Museum system applications and functionalities and new feature rollouts, as well as training on running reports and queries designed to empower users to run their own data. Create Museum-specific documentation and educational guides for end-user reference/success. Regularly interact with and keep informed of an internal Museum SuperUser group and lead these team meetings.
Generate, modify, and maintain the infrastructure for a wide array of reports, queries, templates, webforms, and dashboards to meet Museum informational needs and to support end-user reporting and communication needs. Generate periodic ad hoc reports as needed to help measure program success across the Museum and to highlight key trends and outline necessary actions and other specific one-time data requests.
Proactively identify and troubleshoot problems, interact with software tech support, and test solutions, ensuring availability during Museum hours for troubleshooting support.
Stay abreast of new systems features and evaluate appropriateness of these features. Recommend actions as appropriate to Museum departments and translate these new features and options to end-users to improve the accessibility of data and ensure the database and reporting tools are being utilized to maximum benefit capacity.
Serve as the central liaison for data integration between the Museum and ITS, other RISD departments, and/or external vendors.
Perform data integration as needed between systems such as Altru and Constant Contract, and Altru and Razor's Edge.
Serve as project management lead for key projects and regular tasks such as monthly budget reconciliations, accounting adjustments, process mapping, process improvements, vendor selection, and others as directed by the Finance Manager.
Input data into the RISD's financial system for regular financial tasks such as invoice processing, request new program and activity codes, generate budget vs. actual reports, run and enter credit card disbursement reports, maintain master reference sheet of descriptive data.
Bachelor's degree or equivalent combination of education and experience. Minimum of three years' experience in database management with preferably three to five years' experience in a fundraising, accounting, or public events environment. Experience with Blackbaud and other financial software is preferred. Knowledge of Raiser's Edge, 25Live, Altru, Workday, and webforms a plus. Excellent interpersonal, diplomacy, and teamwork skills--ability to interact with a broad variety of people and handle multiple details. Demonstrated ability to work with significant autonomy and as part of a team. Ability to provide guidance, training and clear direction to others is required while operating in a fast-paced, customer-service environment. Strong project management experience and detail-oriented. Ability to manage and drive projects to completion and to influence others outside of span of control. Demonstrated ability to work effectively with multiple constituencies and diverse audiences. Ability to lead teams, visualize and map out processes and process improvements. Critical and systems thinker. Budget experience. Must recognize diversity as central to excellence.
