Senior Staff Assistant 5607BR Institute of Health Sciences and Technology CHST Dean's Office
Detailed Job Description This position provides day-to-day financial and administrative support to the College of Health Sciences and Technology (CHST) Dean's Office as well as the college and reports to the Dean's Assistant. Primary college duties include day-to-day financial and academic/program/student support for CHST, grant budget support for CHST faculty, coordination of the CHST commencement ceremony/reception and special events, and administrative support for premedical studies. This position also serves as the back-up for CHST Staff members that support day-to-day financial transactions as well as the CHST Dean's Office (as directed by the Dean's Assistant). This requires substantial working knowledge of the Dean's office operations and college programs, as well as the ability to anticipate and solve problems in an independent manner.
CHST Dean's Office and administrative support
Serve as backup to the Dean's Assistant and assist with Dean's Office administration as needed
Provide administrative support to search committees and the on-boarding of CHST faculty and staff
Provide administrative support for the Biomedical Sciences program
Provide administrative support to CHST College Curriculum Committee
Plan and coordinate Commencement and other Dean's Office events
Process CHST adjunct letters
Provide administrative support for CHST participation in the Future Faculty Career Exploration program.
Update CHST Dean's Office myCourses shells, phone lists and other documents as needed
Budget and Financial Support
Provide day-to-day financial support, including running reports, tracking expenses, and procurement activities for Dean's Office, BMS and other CHST academic programs as needed
Reconcile monthly budgets for select CHST areas, including the Dean's office, BMS and Premed.
Reconcile and prepare travel expense reports for Dean's Office, BMS and other CHST faculty as needed
Assist with fiscal year-end close out of accounts and reports
Supervise student employees with sign-off responsibilities in KRONOS
Assist Dean's Office and BMS faculty with processing post-award financial transactions and provide monthly Oracle reports
Process A/R invoices in Oracle for Easter Seals and other external contracts
Attend University sponsored budget and financial training and professional development workshops to stay current on new policies, procedures and best practices
Serve as backup for other CHST staff members that support budget and financial transactions as needed
Premed Med and Pre-Health Professions Provide administrative support related to the premedical and pre-health profession application process. This will include the following:
Monitoring of the Premed and Pre-Health Professions email and phone messages. Responding to inquiries as appropriate.
Compile, monitor and maintain pre-health professional applicant files. Monitor medical and dental school applicants via pre-health professional (AAMS, AACOMAS and AADSAS) sites.
Prepare applicant files for submission to medical and dental schools.
Update and maintain MyCourses site, fileshares, and database and generate accurate and timely reports.
Organize and coordinate pre-health materials; schedule applicants and interview panelists for pre-health profession mock interviews.
Provide administrative support for the Premed Awards. Support includes but is not limited to distribution of award announcements, compiling award materials, and coordination of recognition events

Required Minimum Qualifications
Associate's Degree or equivalent experience
Two years of experience with support of day-to-day budget/financial transactions, administrative support and event planning and management. Experience with RIT policies and procedures preferred.
Independent decision making and problem-solving skills
Meticulous and detail-oriented approach to the position
Excellent interpersonal and communication skills, proven ability to work effectively and collaboratively with individuals at all levels
Knowledge of RIT budgetary, accounting and human resources systems and policies
Strong background in database and special projects management
Student supervision experience
Computer software skills, including Oracle system expertise, Microsoft Office
Must possess high level of confidentiality due to access of confidential information
