Reporting to the Vice President of Operations & Athletics, the Executive Assistant provides a wide array of duties to support the Vice President and departmental leaders. On behalf of the VP, the incumbent coordinates special projects, manages day-to-date activities, and supports departmental leaders.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
Prepare for and follow up on internal and external meetings.
Plan remote and in-person meetings by compiling agendas, coordinating logistics and materials, inviting guests, and taking minutes.
Participate directly in external and internal meetings and following up with the relevant parties when needed.
Work closely with the Vice President to keep them informed and prepared for upcoming commitments and responsibilities.
Manages internal and external special projects in coordination with other departments and/or organizations on behalf of the Vice President.
Coordinate and execute logistics for special events and meetings.
Address miscellaneous administrative needs of staff or students as they arise.
Provide administrative support for highly confidential and complex items.
Assumes responsibility, in the VP’s absence, for ensuring requests for action or information, which would normally receive the VP’s attention are made known to responsible managers or personnel who can satisfy the request. Monitors resulting activity for purposes of briefing the VP.
Supports other department leaders within the Operations & Athletics Division as necessary.
Assist in overseeing corporate credit card expenditures and approvals.
Assist in overseeing procurement system and approvals.
Assist in athletic event management preparation and execution.
Answer and screen incoming calls.
Performs other tasks and duties as assigned by the Vice President

EDUCATION and/or EXPERIENCE:
Bachelor’s Degree required, 1-3 years related experience and/or training; or equivalent combination of education and relevant experience.
