JOHNSON NATHAN STROHE, a full-service architectural and interior design firm located in the hub of activity in Denver’s Union Station district, is currently seeking a highly skilled Executive Assistant. Please read more about the firm at jns.design.
Skills in all administrative areas and confidentiality are required. Flexibility and ability to multi-task are necessary; establishing rapport with individuals involved with JNS including clients, vendors, building management and professional services. Friendly, outgoing personality with excellent people skills is a must.
Good command of Outlook, MS Word, Excel & Access, and computer software applications in general.
Attentive and conscientious telephone reception with courteous, helpful attitude representing positive firm image to both clients and staff.
Responsibilities and Expectations
Answer/route incoming calls. Be familiar with callers and their association to JNS. Acknowledge all visitors, accommodate clients and attendees of meetings.
Printers, Copier, Fax; fill paper daily, change out supplies as needed, service calls
Scheduling time and conference room, order lunch.
Process all incoming and outgoing mail, courier runs, overnight deliveries
Travel: Make travel arrangements (airfare, hotel, car rental) as requested by staff. Track changes ensuring flight credits are used on appropriate projects. Log and ensure proper documentation is received for billing Clients.
Employees birthdays: purchase and circulate cards
Supplies; inventory, ordering, and stocking of office and drafting supplies.
Friday Project Management meeting: organize and copy required documentation
Administrative files: Archive project and administrative files.
Licensing and membership maintenance for principals: monitor expiration dates, complete renewal forms, mail with fees. Research new licensing requirements, complete paperwork.
Manage & update firm calendar and contacts.
Establish rapport with individuals involved in JNS business relations including clients, vendors, building management and professional services.
